Position Overview:
The Dispatcher plays a critical role in coordinating daily inspection assignments and optimizing the scheduling of Inspectors to ensure timely service delivery and operational efficiency. This position serves as the primary point of contact for client communications, managing job requests and using dispatching software to align inspector deployment with location, availability, and project needs. The Dispatcher also supports administrative functions, including work orders, purchase orders, scheduling, and inspector records, while ensuring compliance with safety procedures. This role requires strong communication skills, attention to detail, and the ability to prioritize effectively in a fast-paced environment.
Responsibilities:
  • Communicate professionally with client representatives via phone and email for job assignments.
  • Document conversations with clients and prepare work orders.
  • Coordinate job assignments in relation to the location of Inspectors: using online dispatching software to maximize production and minimize travel time.
  • Manage the scheduling, deployment, and Time Off usage of all Inspectors.
  • Assist the Productivity Project Manager when necessary with word orders and Inspectors' paperwork issues.
  • Obtain and organize all purchase orders prior to scheduling Inspectors.
  • Adhering and abiding to all safety procedures.
  • Performs other duties as assigned.

Qualifications:
  • High school diploma or equivalent preferred.
  • Valid driver’s license, with acceptable driving record.
  • 1-3 years of related training and/or experience with an AEC firm preferred.
  • Computer skills sufficient to operate a laptop, such as sending/receiving emails, and the ability to learn Field Data Collection (FDC) software to input data and prepare reports.
  • Knowledge of standard field and laboratory procedures.
  • Adaptability and flexibility to changing schedules and hours to support business needs.
  • Strong organizational, time management, and problem-solving skills.
  • Able to work independently and as part of a team.
  • Ability to read, write, and interpret procedures, manuals, technical documents, and reports (written and oral).
  • Mathematical skills sufficient to add, subtract, multiply, and divide in all units of measure.

    Travel Requirements:
    • This position requires occasional travel, approximately 10% to 20% of the time, to support business objectives and client engagements. Travel may be both scheduled and on short notice, depending on project needs. Destinations typically include job sites, field locations, or regional offices, where work may be conducted in outdoor or operational environments. Adherence to all company safety protocols and use of PPE is required during travel and on-site work.

    • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
    • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
    • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
    • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
