Dispatcher and Customer Service Representative

Stella Courier is looking for a new full time Dispatch/Customer service representative that can help with the ever growing work load. This role is dynamic and requires the ability to pivot in a fast paced environment. Office staff ensures smooth daily operations at Stella Courier through strong organization, adaptability, and customer service. The position includes opening and closing responsibilities and requires flexibility to handle changing priorities throughout the day.

Key Skills

  • Exceptional Communication and Teamwork: The ability to communicate clearly, professionally, and courteously across all platforms (phone, email, in-person) with customers, couriers, and management. Must be a proactive team player, providing necessary support and information to keep operations flowing smoothly.
  • Strong Organization and Time Management: ability to prioritize competing tasks, manage high-volume workflows, maintain accurate records, and adhere to deadlines in a fast-paced environment.
  • Proficiency with Essential Software: Demonstrated competency with key operational tools, including the Google Drive suite (Docs, Sheets), internal communication platforms like Slack, and accounting/invoicing software, specifically QuickBooks.

Core Responsibilities:

  • Inquiry Management: Promptly and professionally answer incoming phone calls and respond to customer emails, addressing general inquiries, service issues, and operational questions as well as accurately provide updates on job status,
  • Job Booking and Confirmation: Efficiently book and confirm customer delivery jobs, managing both same-day, urgent requests and pre-scheduled jobs booked in advance
  • Quoting and Financial Documentation: offer quotes and estimates, create detailed quotes for new services, and issue professional invoices for completed work.
  • Payment Processing: Systematically collect and process payments. This includes accurately charging credit cards on file or processing new payments directly within QuickBooks system, ensuring all financial transactions are recorded correctly.

Job Types: Full-time, Part-time

Pay: $22.00 - $25.00 per hour

Expected hours: 20.0 – 40.0 per week
