Job Overview
We are seeking a dynamic and detail-oriented Dispatcher and Customer Service Representative to join our team. In this vital role, you will coordinate transportation activities, manage freight logistics, and provide exceptional customer support. Your energetic approach will ensure efficient dispatching of vehicles and freight, while your strong communication skills will foster positive relationships with clients, drivers, and internal teams. This position offers an exciting opportunity to be at the heart of our supply chain operations, ensuring seamless transportation management and outstanding service delivery.

Duties

• Answer incoming calls., within three rings
• Maintain a minimum booking rate of at least 80% as per the call guidelines
• Book & schedule service calls per Procedure and assist the dispatcher with maintaining the dispatch board. Including notifying customers of scheduling changes.
• Follow up on all customer inquiries or additional work needed until customer’s issue is resolved. Schedule all necessary follow up jobs.
• Make “Follow Up” phone calls on estimates given the previous week according to Procedure. Track results.
• Keep Jobber updated by cleaning up customer’s information, sales tax entity and categorizing un-booked calls.
• Communicate effectively with technicians, and customers via multi-line phone systems, maintaining professional phone etiquette at all times.
• Send Quotes to customers in accordance with their job request
• Monitor technicians to, ensuring timely arrival and work pace to keep schedule on track
• Maintain detailed records of dispatch activities, technicians work, and customer interactions to support operational transparency.

Requirements

• Strong analysis skills with the ability to interpret GIS, GPS data
• Excellent communication skills paired with professional phone etiquette for engaging with clients and team members.
• Proficiency in data entry, typing accuracy, and multi-line phone systems for efficient workflow management.
• Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
