Dispatcher and Customer Service Representative

Job Summary

We are seeking a reliable and detail-oriented Dispatcher & Customer Service Representative to join our commercial HVAC team in San Diego. This role is the central communication hub between our customers, technicians, and management. The ideal candidate is organized, calm under pressure, customer-focused, and comfortable handling multiple priorities in a fast-paced service environment.

Key Responsibilities:

Dispatch & Scheduling

• Schedule and dispatch HVAC service technicians for commercial service calls, maintenance, and emergency requests
• Monitor technician schedules, job progress, and service timelines
• Adjust schedules as needed based on urgency, technician availability, and customer needs
• Communicate job details, updates, and changes clearly to technicians

Customer Service

• Answer incoming calls and emails professionally and courteously
• Receive service requests and gather accurate information regarding HVAC issues
• Provide customers with scheduling confirmations, arrival windows, and service updates
• Handle customer concerns and escalate issues appropriately to management

Administrative Support

• Create and update work orders in the dispatch/service management system
• Maintain accurate customer, job, and technician records
• Assist with invoicing, service documentation, and follow-ups as needed
• Support service managers and office staff with administrative tasks
• Assist with the ordering of parts and materials

Qualifications & Skills

• High school diploma or equivalent (required)
• Previous dispatch, customer service, or HVAC service industry experience preferred
• Strong organizational and multitasking skills
• Excellent verbal and written communication skills
• Comfortable using computers, scheduling software, and Microsoft Office
• Ability to stay calm and professional in high-volume or urgent situations
• Knowledge of commercial HVAC systems is a plus, but not required

Work Environment & Schedule

• Office-based position in San Diego, CA
• Monday–Friday schedule (some flexibility or on-call support may be required)
• Fast-paced commercial service environment
