Job Title: Dispatcher & Customer Service Coordinator (Full-Time)
Pay: $16–$24 per hour depending on experience, plus bonuses and incentives
Schedule Options: 7:00 AM–3:30 PM, 8:00 AM–4:30 PM, or 9:00 AM–5:30 PM
Location: South Ogden, UT (in-person)
Most people start at $18 unless they have 0 experience

About the Role

Utah Mechanical Systems is looking for a highly organized Dispatcher & Customer Service Coordinator to help manage our daily service schedule and customer communication.

This role is the operational hub of our company. You will coordinate technician schedules, communicate with customers, assist with service follow-ups, and help ensure every job runs smoothly from the first phone call to completion.

What You’ll Do

Customer Service

Answer incoming calls, texts, and emails from customers
Help customers schedule HVAC and plumbing service appointments
Provide clear communication about arrival windows and service expectations
Follow up with customers after service visits

Dispatch & Scheduling

Schedule and coordinate daily technician appointments
Assign jobs to technicians and manage the service calendar
Communicate schedule changes or delays to customers and technicians
Ensure appointments are organized and technicians have the information they need

Outbound Calls

Call customers to thank them for their business
Request customer reviews
Follow up on estimates and open jobs
Reach out to customers about maintenance plans or additional services

Home Warranty Coordination

Submit service reports to home warranty companies
Track approvals and authorizations for repairs
Communicate with warranty companies regarding job status
Schedule follow-up visits once approvals are received

Administrative Support

Track job progress and customer interactions in our CRM
Assist with invoicing, payments, and accounts receivable when needed
Maintain organized customer records and service documentation

What We’re Looking For

Strong phone and communication skills
Highly organized and detail oriented
Comfortable using computers and learning new systems
Ability to manage multiple tasks at once
Friendly, professional, and dependable
Positive attitude and strong work ethic

Experience in dispatch, scheduling, customer service, or office coordination is helpful but not required. We are willing to train the right person.

Compensation Growth

Pay will be reviewed after the first 90 days, and then every 6 months after that because employees are eligible for raises based on performance, reliability, and contribution to the team.
