Job Summary
The Dispatcher is responsible for managing daily scheduling and communication between customers, technicians, and office staff. This role ensures that appointments are scheduled accurately, confirmed with customers, and that technicians are routed efficiently to the correct jobs. The Dispatcher also provides updates to the Customer Service Representatives (CSR) and Outbound Sales team to maintain productivity and maximize scheduling opportunities.
Duties
- Answer incoming emails and respond to customer inquiries promptly and professionally.
- Dispatch technicians to the correct jobs, ensuring accurate details are communicated.
- Monitor technician schedules throughout the day, adjusting as needed for cancellations, emergencies, or delays.
- Notify CSR and Outbound Sales when technicians have availability or slow periods to maximize scheduling opportunities.
- Track and maintain accurate records of scheduled and completed jobs.
- Communicate effectively with customers, managers, technicians, and office staff to ensure smooth workflow.
- Assist with other administrative or scheduling tasks as needed.
- Conduct a daily huddle with management and staff to review projected revenue, workload, and priorities.
- Communicate schedule changes, delays, or issues to management and affected parties promptly.
- Track technician productivity and report on daily/weekly performance metrics.
- Ensure accurate and up-to-date documentation in dispatch and scheduling systems.
- Schedule, confirm, and update customer appointments across HVAC, plumbing, and electrical services.
Experience
- Proven experience in dispatching within HVAC, plumbing, electrical services, or related fields is highly preferred.
- Experience with ServiceTitan Software
- Excellent analysis skills to evaluate routing options and logistical challenges effectively.
- Demonstrated ability to handle multi-line phone systems professionally while maintaining high levels of phone etiquette and communication skills.
- Experience working with data entry tasks
- Ability to adapt quickly in a fast-paced environment while managing multiple priorities efficiently.
Pay: $20.00 - $30.00 per hour
