Dispatcher / Office Assistant

Company Description: We are an apartment complex with over 900 units spread across 81 buildings. We have a full staff of approximately 45 employees and perform most maintenance, repairs, renovations, and landscaping in house.

Job Description: The dispatcher is responsible for answering calls from residents in need of maintenance or other services in their apartment and generating service requests or taking other actions based on those calls. The dispatcher is the nerve center of our maintenance department, responsible for communications, tracking, record keeping, and customer service.

Common tasks or duties include but are not limited to:

  • Answer phone calls
  • Create service requests in Yardi
  • Track service requests
  • Assign service requests to emergency maintenance staff
  • Maintain records related to extermination services and other services provided by maintenance
  • Notify residents of maintenance activities and procedures as needed
  • Organization of paperwork, records, and the office area in general
  • Relay messages to various maintenance staff including grounds, renovations, maintenance technicians, and superintendents

Job-Specific Requirements:

  • Ability to provide excellent customer service
  • A basic understanding of common maintenance problems found in apartment and building components.
  • Ability to communicate clearly with residents telephonically and in person in order to help determine what their needs are and act accordingly.
  • Physical requirements include being able to sit at a desk for long periods of time and being able to help move items in stock room as needed. Items in stock room may weigh up to 50 lbs.
  • Must have computer skills including but not limited to Microsoft Office and Yardi.
  • Must be able to read, write, speak, understand, and communicate in English sufficiently to perform the duties of this position.

General Requirements:

  • Ability to operate effectively as part of a team as well as an individual.
  • Be able to work weekends and/or holidays during snow events as needed.
  • Must be able to work full-time (40 hours per week) without taking unapproved time off. This requirement does not limit the ability of the employee to use approved paid time off such as sick time.
  • Ability to interact and communicate professionally, efficiently, and clearly with guests, residents, staff, and management.
  • Must be able to read, write, speak, understand, and communicate in English sufficiently to perform the duties of this position.

Compensation & Benefits:

  • Hourly pay commensurate with experience

Job Type: Full-time, Monday through Friday between 8:00 am and 4:00 pm.
