Job Overview
We are seeking a dynamic, highly organized, motivated, and detail-oriented Dispatcher/Office Manager to join our team! Manage dispatching operations and office administration. This role is critical to keeping technicians productive, customers informed, and operations running efficiently. The Dispatcher / Office Manager will oversee daily scheduling, customer communication, technician coordination, administrative support, invoicing assistance, and operational organization for the company. Willing to train if not experienced in service industry.
Responsibilities
- Answer incoming service calls professionally and efficiently
- Schedule residential and commercial service appointments
- Maintain communication with technicians in the field
- Ensure all technicians have accurate job information before arrival
- Track open jobs and ensure completion updates are received
- Collect and organize customer information accurately
- Confirm upcoming appointments
- Follow up on pending estimates and unsold repairs
- Assist with financing paperwork or payment coordination if needed
- Create and update customer accounts
- Input notes, photos, and job information into company software
- Track completed jobs and pending approvals
- Assist management with reporting and operational organization
- Maintain accurate records of daily service activity
