Dispatcher/Front-Line Service Representative

As our front-line representative (Dispatcher), you will handle the first point of contact for technicians, coordinating service calls and ensuring appointments are scheduled and communicated effectively. Your primary objective is to enhance customer satisfaction by facilitating smooth service appointments and by providing timely, accurate information to both the customer and the technician. In addition to call handling, this role includes general office responsibilities and active collaboration with peers to keep daily operations seamless.

Typical responsibilities

  • Receive and log incoming service calls, assessing urgency and capturing required details for technicians.
  • Schedule and confirm service appointments, providing customers with clear expectations about arrival times and services to be performed.
  • Coordinate technician routes and availability to maximize efficiency while minimizing customer wait times.
  • Perform clerical tasks such as updating customer records, entering service notes, generating confirmations, and filing documentation.
  • Work closely with the operations team to troubleshoot scheduling conflicts and maintain steady workflow throughout the day.

Who succeeds here: candidates who are calm on the phone, detail-oriented, and skilled at juggling multiple priorities. Familiarity with dispatch or scheduling software is a plus, as is an ability to work cooperatively with field staff and office colleagues. This role plays a critical part in delivering exceptional service experiences—when the schedule is accurate, technicians are supported, and customers receive timely communication, the entire organization runs smoother.
