Position: Document Controller
We are seeking a qualified and detail-oriented Document Controller responsible for managing company documentation, issuing conformity certificates and test reports, and ensuring timely submission and uploading of documents through customer business portals. The candidate will maintain proper document control procedures and support coordination between departments, clients, and suppliers.
Key Responsibilities
- Prepare, review, issue, and maintain Conformity Certificates (COC), Material Test Reports (MTR), inspection reports, and related QA/QC documentation.
- Upload and manage technical and commercial documents on customer business portals and vendor registration systems.
- Ensure all documents are accurate, updated, and submitted within required timelines.
- Maintain organized electronic and physical filing systems for all company records and project documents.
- Coordinate with QA/QC, production, procurement, sales, and project teams for document collection and verification.
- Track document revisions, approvals, and submission status.
- Prepare transmittals and maintain document logs and registers.
- Ensure compliance with company procedures and customer documentation requirements.
- Assist in preparation of audit documents and support ISO documentation requirements.
- Follow up with customers regarding approvals, comments, or missing documentation.
- Handle confidential documents with integrity and maintain data security.
- Perform other administrative and document control duties as assigned by management.
Qualifications & Requirements
- Bachelor’s degree or diploma in Administration, Engineering, QA/QC, or related field.
- Minimum 2–3 years of experience in document control or QA/QC documentation.
- Experience handling customer portals and online document submission systems.
- Good knowledge of conformity certificates, test reports, and quality documentation.
- Proficiency in Microsoft Office applications, especially Excel and Word.
- Strong organizational and communication skills.
- Ability to work under pressure and meet deadlines.
- Knowledge of ISO documentation systems is preferred.

- Strong file management and record-keeping abilities.
- Good coordination and follow-up skills.
- Familiarity with industrial/manufacturing documentation processes is an advantage.
