đ Document Management
â˘Maintain a centralized document control system for both digital and physical records.
â˘Ensure proper classification, storage, retrieval, and archiving of documents.
â˘Manage controlled documents such as SOPs, work instructions, inspection records, certificates, and correspondence.
đ Document Control & Distribution
â˘Control issuance, revision, and distribution of engineering drawings, quality documents, and specifications.
â˘Ensure obsolete documents are removed from active use and archived properly.
â˘Track document versions, approvals, and update logs in coordination with relevant departments.
đ Compliance & Auditing Support
â˘Support internal and external audits by providing required documentation and records.
â˘Ensure all documents comply with ISO standards (e.g., ISO 9001, ISO 14001) and company policies.
â˘Maintain confidentiality and data integrity of sensitive information.
đ§ž Administrative Support
â˘Assist QA, HSE, and Production teams in document formatting, reporting, and database management.
â˘Prepare document templates and standard formats for consistency.
â˘Track and monitor records such as calibration certificates, training records, material test certificates, etc.
đ¤ Communication & Coordination
â˘Coordinate with department heads, supervisors, and external partners regarding document requirements.
â˘Provide training and support to employees on document control procedures and software.
â˘Liaise with suppliers or contractors for documentation submissions and transmittals.
đ Qualifications & Requirements:
â˘Diploma or Bachelor's degree in Business Administration, Information Management, or a relevant field.
â˘3â5 years of experience in a document control role, preferably in a manufacturing or engineering environment.
â˘Familiarity with ISO standards, quality documentation, and foundry industry terminology is an advantage.
â˘Proficient in MS Office (Excel, Word, Outlook) and document control software or ERP systems.
â˘High attention to detail, strong organizational skills, and excellent filing/recordkeeping habits.
â˘Good communication and coordination abilities.
â˘Knowledge of confidentiality protocols and data protection regulations.
