As we expand our operations in Abu Dhabi, we are looking for a highly organized professional to take ownership of our internal documentation systems and quality assurance processes.

Job Overview:
We are not looking for a simple data entry clerk. We are seeking a Document Controller who understands the importance of data integrity, confidentiality, and operational compliance. You will be the "gatekeeper" of our company records, ensuring that every file—digital or physical—is accurate, up-to-date, and stored according to company standards.

Key Responsibilities:

  • System Management: Create, manage, and maintain a comprehensive digital and hard-copy filing system for all client and company documents.
  • Compliance Auditing: Review incoming and outgoing documents (contracts, applications, client records) to ensure they meet internal quality standards and UAE regulatory requirements.
  • Version Control: Ensure all team members are using the correct, most up-to-date versions of forms and templates.
  • Data Integrity: Perform regular audits on the company database to identify missing files, duplicates, or errors in client data.
  • Confidentiality: Handle sensitive client information with the highest level of security and discretion.
  • Reporting: Generate weekly status reports regarding document workflow, pending files, and expiring documents (e.g., trade licenses, visas).
  • Process Improvement: Identify bottlenecks in our current document workflow and suggest more efficient digital solutions.

Requirements & Qualifications:

  • Location: Must currently reside in Abu Dhabi.
  • Experience: Minimum 2-3 years of experience as a Document Controller, Compliance Assistant, or Administrator in the UAE (preferably in Corporate Services, Construction, or Legal sectors).
  • Technical Skills: Advanced proficiency in Microsoft Excel is non-negotiable (must know VLOOKUP, Pivot Tables, and Filtering). Experience with CRM systems or Electronic Document Management Systems (EDMS) is a strong plus.
  • Language: Excellent command of written and spoken English. Arabic proficiency is an advantage but not mandatory.
  • Soft Skills: Obsessive attention to detail. You must be the type of person who spots a typo immediately and cannot relax until a file is organized correctly.
  • Education: Bachelor’s degree in Business Administration or a relevant field.
