Position Title: Document Controller cum Project Coordinator

Position Overview
The Document Controller cum Project Coordinator will be responsible for managing all project-related documentation in an efficient, accurate, and timely manner, while also providing coordination support to ensure projects are executed smoothly. The role requires attention to detail, organizational skills, and the ability to liaise with multiple departments, clients, and subcontractors.
Key ResponsibilitiesDocument Control
- Maintain and manage all project documents, records, and correspondence in both electronic and hard copy formats.
- Ensure proper filing, retrieval, and distribution of documents according to company and project procedures.
- Control and track the flow of all incoming and outgoing correspondence, submittals, RFIs, drawings, and approvals.
- Ensure version control and compliance with document management standards.
- Support audits and inspections by providing accurate documentation as required.
Project Coordination
- Assist the Project Manager in planning, monitoring, and coordinating project activities.
- Track project progress, deadlines, and deliverables, ensuring timely follow-up with concerned teams.
- Liaise with internal departments, clients, consultants, and subcontractors to ensure smooth project communication.
- Prepare and update project reports, meeting minutes, and progress updates for management review.
- Coordinate logistics, schedules, and resources to ensure efficient project execution.
- Support procurement and site teams by following up on materials, approvals, and documentation.
Qualifications & Skills
- Bachelor’s Degree/Diploma in Business Administration, Engineering, or related field.
- Minimum 3–5 years’ experience in document control and project coordination, preferably in construction, oil & gas, or related industries.
- Strong knowledge of document management systems and project coordination practices.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of ERP systems is an advantage.
- Excellent organizational, multitasking, and communication skills.
- Ability to work under pressure and meet tight deadlines.
- Detail-oriented with strong analytical and problem-solving abilities.
