Job Purpose:
To manage, control, and maintain all project-related documents, drawings, and correspondences in both electronic and hard copy formats. Ensure the proper flow of documents between the site, head office, consultants, subcontractors, and clients, in compliance with company procedures and ISO standards.
Key Responsibilities:
1. Document Management
- Establish and maintain a well-organized document control system for all project documents (drawings, technical submittals, RFI, material approvals, correspondence, reports, etc.).
- Ensure all incoming and outgoing documents are properly logged, categorized, and distributed to the relevant stakeholders.
- Manage the electronic document management system (EDMS) such as Aconex, Procore, or internal DMS.
- Maintain updated document registers for drawings, transmittals, and revisions.
2. Drawings & Submittals
- Receive, review, and distribute shop drawings, as-built drawings, and design revisions to concerned engineers.
- Track submittals and ensure timely responses from consultants/clients.
- Maintain drawing control logs and update revision status.
3. Correspondence & Communication
- Record and track all project correspondence between contractor, consultant, and client.
- Ensure proper filing of all letters, memos, and emails related to project activities.
- Prepare and issue document transmittals and submission reports.
4. Quality & Compliance
- Ensure document control procedures comply with company QA/QC requirements and ISO 9001 standards.
- Archive superseded and obsolete documents systematically for traceability.
- Support the QA/QC department in audits and documentation reviews.
5. Coordination
- Coordinate with site engineers, consultants, subcontractors, and head office for document flow.
- Provide administrative and documentation support to project management teams.
- Ensure confidentiality and controlled access to sensitive project information.
Qualifications & Skills:
- Diploma or Bachelor’s Degree in Engineering, Construction Management, or Business Administration.
- Minimum 3–5 years experience as a Document Controller in a construction company, preferably on high-rise building projects in Dubai or GCC.
- Strong knowledge of document control systems (e.g., Aconex, Primavera Contract Management, or similar).
- Proficient in MS Office (Word, Excel, Outlook) and Adobe Acrobat.
- Excellent organizational skills and attention to detail.
- Strong communication and coordination skills.
- Ability to work under pressure and meet deadlines.

- Properly archived Hard and Soft Copies of all project records
