- Maintain and manage all incoming and outgoing correspondence, drawings, submittals, transmittals, and project documents.
- Ensure all documents are properly numbered, version-controlled, and filed (electronic and hard copies).
- Implement and maintain document control procedures and systems.
- Coordinate with consultants, clients, subcontractors, and suppliers regarding document submissions and approvals.
- Track document status and ensure timely follow-up on pending approvals or revisions.
- Prepare and issue document transmittals, submittal logs, and reports as required.
- Maintain confidentiality and security of sensitive documents.
- Provide administrative support to the project team and management.
- Draft, format, and review official letters, memos, and emails.
- Schedule meetings, prepare agendas, and record minutes.
- Handle telephone calls, messages, and correspondence professionally.
- Maintain office records, filing systems, and databases.
- Arrange travel bookings, accommodation, and logistics when required.
- Support in preparing reports, presentations, and other project documentation.
Qualifications & Requirements:
- Engineering Background
- Minimum 1 years of experience in document control and secretarial roles, preferably in construction or engineering companies.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
- Strong organizational, communication, and time-management skills.
- Attention to detail and accuracy in documentation.
- Ability to handle confidential information with discretion.
- Fluent in English (written and verbal)
