Document Controller / Secretary

Dubai, United Arab Emirates

  • Maintain and manage all incoming and outgoing correspondence, drawings, submittals, transmittals, and project documents.
  • Ensure all documents are properly numbered, version-controlled, and filed (electronic and hard copies).
  • Implement and maintain document control procedures and systems.
  • Coordinate with consultants, clients, subcontractors, and suppliers regarding document submissions and approvals.
  • Track document status and ensure timely follow-up on pending approvals or revisions.
  • Prepare and issue document transmittals, submittal logs, and reports as required.
  • Maintain confidentiality and security of sensitive documents.
  • Provide administrative support to the project team and management.
  • Draft, format, and review official letters, memos, and emails.
  • Schedule meetings, prepare agendas, and record minutes.
  • Handle telephone calls, messages, and correspondence professionally.
  • Maintain office records, filing systems, and databases.
  • Arrange travel bookings, accommodation, and logistics when required.
  • Support in preparing reports, presentations, and other project documentation.

Qualifications & Requirements:

  • Engineering Background
  • Minimum 1 years of experience in document control and secretarial roles, preferably in construction or engineering companies.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational, communication, and time-management skills.
  • Attention to detail and accuracy in documentation.
  • Ability to handle confidential information with discretion.
  • Fluent in English (written and verbal)

Pay: From AED3,500.00 per month
