Document Controller – Site Based

Role Summary:
We are seeking an organized and proactive Document Controller to manage the flow, storage, retrieval, and tracking of documents on a complex marine and coastal engineering construction project. The role involves working closely with the site engineering and supervision team to ensure that all project documentation is correctly managed, up to date, traceable, and in compliance with the client and project’s document control procedures.
Key Responsibilities:
- Establish and maintain an organized filing and tracking system for all incoming and outgoing project documentation, including construction submittals and correspondences.
- Register, log, and distribute incoming documents to the relevant team members, consultants, and contractors.
- Maintain up-to-date registers for submittals, transmittals, site instructions, and NCRs.
- Ensure all revisions of documents are updated and superseded versions are archived appropriately.
- Liaise with engineers and discipline leads to support timely review and approval of contractor submissions.
- Ensure compliance with the project's Document Control Procedures and Document Numbering System.
- Support Resident Engineer and site team with preparing daily logs, correspondence records, and filing of site communications.
- Control document access and file permissions on digital platforms (e.g., SharePoint, Aconex).
- Assist with the preparation of handover documentation, as-built records, and O&M manuals.
- Monitor and report outstanding responses or overdue documents.
- Manage hard and soft copy documentation (scanning, printing, archiving).
Minimum Qualifications & Experience:
- Diploma or Bachelor's Degree in Business Administration, Engineering, or relevant discipline.
- 5+ years of experience as a Document Controller, including at least 2 years on construction projects.
- Proficient in EDMS software such as SharePoint, Aconex, Procore, or equivalent.
- Strong skills in MS Office (Word, Excel, Outlook) and PDF editing tools (e.g., Adobe Acrobat).
- Excellent organizational skills and attention to detail.
- Fluent in English (spoken and written).
Desirable Skills:
- Understanding of construction submittals, and contract documentation.
- Ability to prioritize, manage multiple deadlines, and work effectively under pressure.
- Familiarity with ISO standards for document control (e.g., ISO 9001) is a plus.
- Basic knowledge of site construction practices and terminology.
