About the Role
Pinpoint Guam is hiring a Document & Data Processing Specialist to support our core business operations in collecting and processing accurate real estate data. In this role, the successful applicant will accurately process physical and digital documents, maintain high-quality records, and provide stakeholders with timely access to information.
This is an entry-level position designed for someone looking to build a professional foundation in data management, business operations, or real estate research. You'll play an essential behind-the-scenes role by keeping our information systems current and accurate so internal teams can work effectively.
This position is also eligible for participation in the Guam registered apprenticeship program. The program will provide structured on-the-job training, vocational coursework, and a clear pathway to career advancement within the organization.

What You'll Do
Document Management & Records Control
- Retrieve physical and digital documents and data promptly upon request to support internal teams and daily operations
- Organize, scan, file, and archive documents in accordance with company policies and filing protocols
- Operate scanners and document management software to digitize physical records, ensuring high-quality file conversions
- Verify the accuracy of scanned and archived files, integrating them into the appropriate digital storage systems and databases
- Ensure proper indexing and labeling of files so records are easy to locate and access
Data Entry & Quality Control
- Accurately input data into databases, spreadsheets, and internal systems following established procedures
- Review records for errors, missing information, or duplicate entries and take corrective action
- Update and maintain existing records to keep all information current and reliable
- Assist with identifying trends, inconsistencies, or gaps in data to support quality assurance
Compliance & Confidentiality
- Handle all documents and data in accordance with company data privacy and compliance policies
- Always maintain strict confidentiality of sensitive information
- Follow established procedures for the proper disbursement, retention, and disposal of records
General Office Support
- Perform general clerical duties as needed to support day-to-day operations
- Maintain organized workspaces and document processing areas
- Support other departments with administrative tasks as assigned
What We're Looking For
Required
- High school diploma or GED, or equivalent combination of education and related experience
- High attention to detail and a commitment to accuracy
- Ability to follow established procedures and multi-step instructions consistently
- Strong organizational skills and the ability to manage multiple tasks
- Basic comfort using computers, email, and Microsoft Office tools
- Regular and predictable attendance; reliable, punctual, and professional work ethic
- Must have a valid Guam driver's license.
- Applicants must have the legal right to work in Guam (U.S. territory).
Preferred (Not Required)
- Experience with document scanning, filing systems, or data entry
- Familiarity with databases, spreadsheets, or records management software
- Exposure to document management platforms such as Adobe Acrobat, DocuSign, or similar tools
- Previous experience working in real estate, legal, or banking

What Success Looks Like
Within your first 90–120 days (about 4 months), you will:
- Develop a solid understanding of Pinpoint's document management systems and workflows
- Accurately process and file documents with minimal errors
- Maintain records that are current, well-organized, and easy for the team to access
- Demonstrate reliability and consistency that the team can count on
- Begin identifying opportunities to improve accuracy and efficiency in day-to-day processing tasks
