Document Management Specialist (DMS) manages an organization's documents, from creation to disposal, ensuring efficient storage, retrieval, security, and compliance with regulations by developing policies, maintaining systems (EDMS), organizing both digital/physical records, and training staff, requiring strong organizational skills and attention to detail, often with a bachelor's degree in a related field.

Key Responsibilities:

  • Policy & Procedure Development: Create and implement rules for document lifecycle, control, access, and retention.
  • System Management: Maintain Electronic Document Management Systems (EDMS), including setup, configuration, and upkeep.
  • Organization & Control: Categorize, index, scan, and archive physical and digital documents.
  • Security & Compliance: Ensure data security, backup, and adherence to internal policies and external regulations (e.g., data privacy).
  • Support & Training: Assist users, facilitate document sharing, and train staff on DMS best practices.
  • Lifecycle Management: Oversee the entire document lifecycle (creation, storage, retrieval, destruction).
  • Continuous Improvement: Identify and implement ways to improve document processes and systems.

Key Qualifications:

  • Education: Bachelor's degree in Information Management, Library Science, or a related field.
  • Experience: Proven experience in records management, document control, or a similar role.
  • Skills: Strong organization, accuracy, attention to detail, communication, and time management.
  • Technical Knowledge: Familiarity with EDMS, data security, compliance standards, and Microsoft Office.
