The Documentation Officer is responsible for managing, organizing, and maintaining all supplier and customer documentation while ensuring compliance with company policies, industry standards, and regulatory requirements. The role includes maintaining supplier records, coordinating with shipping lines and agents, handling operational documentation, and supporting smooth logistics operations through accurate documentation and effective coordination with internal teams.

Must Have

• Bachelor’s degree in Logistics, Supply Chain, or Business.
• 2–3 years experience in logistics or shipping documentation Perfect written English.
• Strong knowledge of shipping documents (B/L, PL, COO).
• Proficiency in MS Office and ERP systems (Odoo preferred).
• Experience with CargoX and Nafeza platforms.
• Strong organizational skills and attention to detail.
• Ability to work under pressure.
• Good command of English.

• Experience working with freight forwarding companies.
• Negotiation and problem-solving skills
• Experience dealing with customs authorities.
• Supplier pricing and cost coordination experience.
  
  

Responsibilities

• Develop and maintain supplier database.
• Evaluate suppliers and manage approved supplier list.
• Coordinate with suppliers as main point of contact.
• Handle logistics pricing and support sales team.
• Make bookings with shipping lines and agents.
• Submit Verified Gross Mass (VGM)
• Review Bills of Lading and shipping documents.
• Monitor shipment operations and follow up with agents.
• Manage supplier invoices and resolve discrepancies.
  
  

Customer Support & Compliance

• Assist customers with CargoX registration and onboarding
• Manage ACID submissions through the Nafeza platform
• Coordinate with customs authorities and shipping agents
• Ensure compliance with import and export regulations
