Summary

Friends of PACC seeks a team-oriented, organized individual to serve as a Donor Services Assistant, supporting our fundraising and donor relations efforts. This role plays a critical behind-the-scenes part in ensuring donations are accurately processed, acknowledged, and recorded. Working under the direction of the Donor Services Manager, the ideal candidate is dependable, organized, and comfortable with data entry and administrative tasks. Duties & Responsibilities

· Monitor and sort incoming donation-related emails from designated inboxes, ensuring timely organization and follow-up.

· Print and organize donation reports from platforms such as PayPal, Square, Benevity, CyberGrants, and other third-party processors, file appropriately for recordkeeping.

· Accurately enter donations into the donor database, including gifts received through third-party platforms such as YourCause, Network for Good, Arizona Gives Day, Square, PayPal, Truist, Stripe, Pledgeling, Benevity, and CyberGrants.

· Create and maintain donor records, ensuring accuracy and completeness.

· Process daily donations and generate acknowledgement letters, including those made in honor or memory of individuals.

· Print, prepare, and mail donor acknowledgement letters in a timely manner.

· Support weekly deposit processes by copying checks, entering donation data, and scanning documentation into designated SharePoint folders.

· Assist with data entry and donation processing during high-volume fundraising periods, including Giving Tuesday, Arizona Gives Day, End-of-Year campaigns, and other major initiatives.

· Maintain organized digital and physical filing systems for donation records and related documentation.

· Provide general administrative support to the Development team as needed.

· Perform other duties as assigned.

Preparation and Knowledge

Candidates must demonstrate commitment to the mission and vision of Friends of PACC and a passion for supporting pets in need. The ideal candidate will also possess:

· High school diploma required; some office or nonprofit experience preferred.

· Proficiency in Microsoft Office (Word, Excel, Outlook).

· Experience with database management, a plus.

· Experience with basic recordkeeping, correspondence, and administrative support.

· Strong organizational skills with attention to detail and deadlines.

· Excellent written and verbal communication skills; Spanish fluency a plus.

· Strong customer service via phone, email, and in person.

· Ability to handle sensitive and confidential information with discretion.

Physical Demands/Working Conditions

Licenses and Certificates

· A valid AZ driver’s license is required at the time of appointment. The successful applicant will be subject to a 36-month DOT Motor Vehicle Record review to determine the applicant’s suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon review and approval of the candidate’s driving record.

· Anyone who drives on behalf of Friends of PACC is required to maintain personal auto insurance with minimum coverage of $100,000/$300,000. Proof of coverage must be submitted annually.

Friends of PACC is the official, nonprofit, philanthropic partner to our county animal shelter which is the only shelter in our community that never turns away a pet in need, taking in approximately 19,000 pets annually.
