Summary:
The ELC Administrative Assistant and Enrollment Coordinator must be committed to and advocate for NBFA’s mission to provide students a meaningful, high quality education through experience-based learning that helps develop essential social, emotional and critical-thinking skills. The Assistant is responsible for various support functions critical to the ongoing efficient operations of NBFA’s ELC.
Principal Accountabilities:
- Greet and assist visitors, families, students, and staff in a positive, professional, and welcoming manner.
- Perform general office management, clerical, and administrative duties to support daily school operations.
- Prepare, process, and distribute mailings, correspondence, forms, and other office communications.
- Maintain confidential student files and records in accordance with school policies and applicable privacy requirements.
- Support front office arrival and dismissal procedures, including documenting tardies, early dismissals, and related student attendance updates.
Scheduling and Administrative Support
- Provide administrative and clerical support to the CEO/Director and CFO, including scheduling meetings, managing calendars, preparing documents, serving as a scribe during meetings, and maintaining organized records.
- Serve as a professional point of contact for families, staff, Board members, community partners, and other stakeholders on behalf of the CEO/Director.
- Prepare, proofread, and distribute correspondence, reports, agendas, meeting materials, and other documents as assigned.
- Support the coordination of schoolwide events, meetings, professional development sessions, and special projects led by the CEO/Director.
- Maintain confidentiality when handling sensitive student, staff, family, and organizational information.
- Assist with tracking deadlines, follow-up items, and key administrative tasks to support the CE0/Director’s daily operations and organizational priorities.
- Organize and maintain electronic and physical files to ensure timely access to important documents and records.
- Support communication between the CEO/Director’s office and internal departments to promote efficient school operations.
Power School
- Input new staff

- Remove students upon withdrawal
Materials and Purchasing
- Update, copy and distribute staff contact list
- Copy and distribute Staff Handbook
- Copy and distribute Student Handbook
- Create purchase orders for ELC leaders and staff
Enrollment
- Manage student lottery process
- Distribute enrollment materials throughout the community
- Serve as a welcoming first point of contact for prospective families by responding to inquiries, scheduling tours and information sessions, and clearly communicating next steps.
- Support families in completing applications and assembling required documentation (e.g., proof of age, residency, immunizations, and other program-specific requirements).
- Provide individualized follow-up to reduce “drop-off” between inquiry and enrollment and ensure families complete the process in a timely manner.
- Participate in regular check-ins with NBFA’s leadership to review metrics, troubleshoot barriers, and adjust strategies.
- Regularly update the Withdrawal list
- Schedule withdrawal meetings
- Manage student records
- Respond to records request from other schools
Board of Directors
- Ensure timely public notice and posting of Board and committee meetings, agendas, and related materials in accordance with applicable requirements.
- Communicate Board meeting schedules, updates, and pertinent information to members of the Board of Directors.
- Prepare, organize, and distribute Board of Directors meeting packets and supporting materials.
- Serve as corresponding secretary to the Board of Directors, including preparing communications, maintaining records, and supporting Board-related administrative needs.
Certification, Knowledge and Skills:
- Associate’s or Bachelor’s degree preferred, or equivalent relevant work experience.
- Prior school administrative experience preferred
- Be an excellent listener and quick thinker
- Have strong communication skills, both oral and written
- Possess a keen eye for details, the ability to multi-task and a can-do attitude
- Thrive in a fast-paced environment and work well collaboratively or independently
- Be a trustworthy individual who can maintain student/family confidentiality
- Be proficient in Microsoft Office suite and PowerSchool
