GENERAL DESCRIPTION
The City of McAlester is looking for a highly organized and detail-oriented Administrative Assistant to support the Economic Development Department Director. This is a great opportunity to assist our team with diverse projects and provide administrative support.
PRIMARY DUTIES: This list represents the essential tasks performed by the position. Employees may be assigned additional duties by management as required.
Schedule appointments and maintain outlook calendars.
Schedule and coordinate staff and other meetings.
Prepare communications, memos, emails, invoices, purchase orders, reports, and other correspondence.
Work closely with the Executive Assistant to the City Manager and Finance department.
Responsible for keeping the department in compliance with City standards and policy as it pertains to accounting practices and budget guidelines.
Handle confidential information which requires discretion and diplomacy.
Takes notes at staff meetings and other related meetings.
Prepare PowerPoint presentations for the department.
Set up department staff meetings, prepare presentation, order, and pick up food items as needed.
Assist with social media marketing and software graphic projects for reports, flyers, and website updates.
Knowledge of the following:
Microsoft Products; Excel, Word, PowerPoint.
Software: Incode 9, ExecuTime

GENERAL RESPONSIBILITIES AND REQUIREMENTS

Uses basic algebra involving variables and formulas and/or basic geometry involving plane and solid figures, circumferences, areas, and volumes and/or computing discounts and interest rates.
COMMUNICATIONS REQUIREMENTS: “Communications” involves the ability to read, write, and speak.
Read routine sentences or instructions; write routine sentences and completes routine work forms; speak routine sentences using standard grammar.
COMPLEXITY OF WORK: “Complexity of Work” addresses the analysis, initiative, ingenuity, creativity, and concentration required by the position and the presence of any unusual pressures.
Performs semi-skilled work involving rules/systems with almost constant problem solving; requires normal attention with short periods of concentration for accurate results and occasional exposure to unusual pressure.
IMPACT OF DECISIONS: “Impact of Decisions” refers to consequences such as damage to property, loss of data or property, exposure of the organization to legal liability, or injury or death to individuals.
Makes decisions with moderate impact - affects those in work unit and may affect other units or citizens.
EQUIPMENT USAGE: “Equipment Usage” refers to inanimate objects such as substances, materials, machines, tools, equipment, work aids, or products. A thing is tangible and has shape, form, and other physical characteristics.
Handles machines, tools, equipment, or work aids involving moderate latitude for judgment regarding attainment of standard or in selecting appropriate items. Equipment used may include a calculator, copier, fax machine and computer.
SAFETY OF OTHERS: “Safety of Others” refers to the responsibility for other people’s safety, either inherent in the job or to assure the safety of the general public.
Requires some responsibility for safety and health of others and/or for occasional enforcement of the standards of public safety or health.
EDUCATION AND EXPERIENCE REQUIREMENTS
EDUCATION REQUIREMENTS: “Education Requirements” refers to job specific training and education required for entry into the position.
Requires associate degree or equivalent of two years of college or vocational school education or five years of Administrative Assistant experience.
LICENSES, CERTIFICATIONS, AND REGISTRATIONS REQUIRED: “Licenses,
Certifications, and Registrations” refers to professional, state, or federal licenses, certifications, or registrations required to enter the position.
Requires none.
EXPERIENCE REQUIREMENTS: “Experience Requirements” refers to the amount of work experience that is required for entry into the position that would result in reasonable expectation that the person can perform the tasks required by the position.
Requires five years of related experience including one to three years in local government or in a legal setting.

PHYSICAL DEMANDS: “Physical Demands” refers to the requirements for physical exertion and coordination of limb and body movement.
Requires light work involving standing or walking some of the time, exerting up to 20 pounds of force on a regular basis, and moderate dexterity in operating machinery, tools, or office equipment.
UNAVOIDABLE HAZARDS: “Unavoidable Hazards” refers to unusual conditions in the work environment that may cause illness or injury.
The position is exposed to no unusual environmental hazards. May sometimes be exposed to bright/dim lights and dust or pollen.
