We are currently seeking an Electronic Contracting and Form Development Assistant who has the ability to demonstrate attention to detail. Hours are Monday to Friday 8 AM to 4:30 PM. This position reports to the Director of Regulatory Affairs and this is a position that is on-site.
This position will share responsibility for day-to-day management of ECP’s e-contracting systems, as well as serving as a point of contact for electronic contracting support with auto dealers, agents, distributors, F&I menu systems and ECP employees.
Primary responsibility for the editing, development, and creation of consumer-facing forms for ECP’s warranty, service contract, and optional protection product programs, under direct supervision, proceeding to general supervision as experience is gained.
Overview of Position Responsibilities
_ Electronic Contracting:_
- Develop and maintain a working understanding of the TecAssured and StoneEagle administration applications, their capabilities, and their limitations.
- Create fillable PDF versions of existing ECP warranty and service contract documents.
- Establish new dealer accounts and maintain existing accounts in electronic contracting interfaces:
- Identify ECP Customer ID; establish user account for API and remit access; entitle dealers to certain ECP products.
- Create and maintain ECP products which includes,
- Identification of applicable products; production of fillable PDF versions of e-forms; setup of products in the interface; mapping of forms for auto-filling using the software; entitlement of programs to eligible dealers.
- Develop, deploy, and maintain rating rulesets by developing a working understanding of the rating and eligibility factors applicable.
- Develop, organize, and maintain rate/pricing sheets for all products and design ad-hoc spreadsheets if required.
- Create and maintain master records for the e-contracting systems.
- Facilitate the transfer of dealer accounts between electronic contracting systems and perform other tasks related to the electronic contracting systems as directed.
- Provide technical support to dealers, agents, and F&I menu systems. This includes receiving and responding to emails and phone calls from dealers, agents, and menu providers, and accessing a computer to implement remedies with the goal of minimizing business disruption and down time for customers.
Form Development:
- Develop and maintain a working understanding of the various product warranties and service contract plans offered by ECP.
- Working with the typesetter for ECP’s commercial printer, develop new program enrollment forms meeting the specifications of requesters from the sales division. Coordinate with the Director of Compliance and with the form requesters to identify specific details needed to prepare forms accurately and with a minimum of re-work.
- Review the catalog of existing program forms. Identify forms in need of compliance updates and perform routine updates to ensure that the forms in the catalog are kept up to date.
- Update and maintain the master spreadsheet of form numbers.
- Update and maintain the master spreadsheet of program billing codes and their associated serialization blocks.
- Using the form management project ticketing system provided by ECP, create and maintain detailed records of all work on all form projects.
- Maintain the ECP electronic forms catalog, ensuring that it accurately reflects the most recent revisions available in the marketplace, and maintaining copies of old revisions for ECP business and regulatory compliance purposes.
- Coordinate with the Director of Regulatory Affairs on project completions, so filings with contractual liability insurers, state regulators, and lenders can be completed timely.

Minimum Requirements
- Bachelor’s degree in Business or Computer Science or similar course of study.
- Proficient in Microsoft Office including Excel, Word and Outlook.
- Proficiency is also required in Adobe Acrobat, Internet Explorer, and Google Chrome.
- This position requires excellent interpersonal, verbal and written communication skills as well as strong analytical skills.
- Ability to organize and prioritize with great attention to detail and accuracy.
- The successful candidate must be able to engage in detailed data entry with high degree of accuracy for extended time periods.
