Enrollment Management Systems Administrator (Remote)

Position Title: Enrollment Management Systems Administrator

Reports to: Executive Director of Enrollment Management Operations

Location: Remote within the continental US, with the ability to travel to campuses and other locations. Candidates located in vicinity of one of Antioch University’s 5 national campuses preferred.

Compensation: Antioch University offers a competitive compensation and benefits package that includes both direct and indirect pay. The compensation will be based on experience, education, knowledge, credentials, and a consideration of the difficulty and complexity of the position. The salary range for this position is $80,000.00 - $90,000.00.

Position Summary

The Enrollment Management (EM) Systems Administrator is responsible for the administration, configuration, and operational support of systems used by Enrollment Management, with Salesforce serving as the primary platform. This role ensures the reliability, usability, and ongoing improvement of systems that support recruitment, admissions operations, and communication with prospective students.

The EM Systems Administrator manages Salesforce configuration and supports related systems that integrate with the CRM, including tools such as TargetX, Marketing Cloud, Talkdesk, Calendly, and Mogli. The position works closely with the Enrollment Management Operations (EMOps) team, analytics staff, and institutional technology partners to maintain system functionality, support users, and ensure systems effectively support enrollment processes.

This is a hands-on technical role focused on CRM administration, system configuration, operational reporting support, and user troubleshooting. The position requires the ability to translate enrollment operations needs into effective CRM system configurations while maintaining high standards of data integrity and system reliability.

The EM Systems Administrator works in a collaborative environment supporting admissions staff, marketing teams, and enrollment leadership who rely on CRM systems for daily operations and decision-making.

Essential Duties and Responsibilities

CRM and Systems Administration:

  • Administer and maintain Salesforce and related Enrollment Management systems used to support recruitment and admissions operations.
  • Configure and maintain Salesforce objects, fields, automation (Flows), validation rules, page layouts, and system configurations.
  • Manage user access, permissions, roles, and profiles within Salesforce.
  • Maintain integrations between Salesforce and related systems including TargetX, Marketing Cloud, Talkdesk, Calendly, and Mogli.
  • Support data imports, updates, and system configuration changes needed to support Enrollment Management operations.
  • Troubleshoot system issues and coordinate resolution with vendors and internal technology teams.
  • Support testing and deployment of system updates, releases, and configuration changes.
  • Assist with system documentation and operational procedures related to CRM administration.
  • Support CRM data synchronization and operational processes that integrate with Marketing Cloud campaigns and journeys.
  • Coordinate testing and release of CRM configuration changes, ensuring updates are validated and deployed safely across environments.

User Support and Training:

  • Provide technical support and troubleshooting assistance to CRM users across Enrollment Management, working with EMOps support staff to resolve issues and implement system improvements.
  • Respond to user questions regarding system functionality, reports, and data.
  • Support onboarding and training for new CRM users.
  • Assist in developing user documentation and training materials.
  • Help users better utilize system functionality, including reports, filters, and workflows.

Reporting and Operational Data Support:

  • Build and maintain operational Salesforce reports and dashboards to support admissions and enrollment workflows.
  • Support operational data needs for Enrollment Management staff.
  • Collaborate with analytics staff to ensure CRM data structures support institutional reporting and analytics initiatives.
  • Assist users in understanding and accessing Salesforce reports and dashboards.

Data Integrity and System Maintenance:

  • Maintain CRM data integrity through system configuration, validation rules, duplicate management tools, and data maintenance practices.
  • Investigate and resolve systemic data issues identified through operational monitoring or user reports.
  • Support ongoing data cleanup efforts and improvements to system processes that improve data reliability

Experience and Qualifications

Minimum Requirements:

  • 4+ years of experience administering Salesforce or a comparable CRM platform.
  • Experience configuring CRM systems, including objects, fields, automation, validation rules, user permissions, and reporting.
  • Experience troubleshooting system issues and providing support to end users.
  • Experience supporting data imports, updates, and general CRM data management practices.
  • Ability to communicate technical concepts clearly to non-technical users.
  • Demonstrated ability to manage multiple priorities and respond to operational system needs.
  • Bachelor’s degree or equivalent combination of education and professional experience.

Hours of Employment

This is a full-time position serving a national university which may occasionally require extra hours over a 40 hour work week. A work schedule will be established in consultation with the supervisor.
