Enrollment Systems Manager — Mesa, AZ

John Wheeler CDL School — Mesa, AZ

Full-time In-person only Monday–Friday, 7:00 AM – 3:30 PM

Starting Pay: $24/hour Potential raise to $28/hour after first quarter based on performance

Year 1 Realistic Earnings: $55,000–$70,000

About This Role

We’re a CDL truck driving school in Mesa, AZ. We train career-changers to earn their commercial driver’s license and land jobs driving locally, regionally, and over-the-road.

We’re hiring an Enrollment Systems Manager to take full ownership of our lead response and admissions process — and grow far beyond it.

This is not a calls-only position, and we are not looking for someone who is comfortable staying in one lane forever. We want someone ambitious — someone who will handle lead operations at the start, build the systems that make it run smoothly, and then grow into a higher operations role as those systems stabilize.

If you want to answer phones and nothing more, this is not the right role. If you want to build something real and grow into running it — and you want a team willing to invest time and training to get you there — keep reading.

Your Mission

This is a phone-heavy, follow-up-heavy, computer-heavy role. Your mission is simple:

“Make sure no lead is ignored, forgotten, or left without a next step.”

Main Responsibilities

  • Answer every inbound call during business hours
  • Return missed calls quickly — same day, no exceptions
  • Follow up with voicemails, web leads, old leads, and undecided prospects
  • Schedule and confirm tours
  • Explain CDL programs clearly and professionally
  • Help prospects understand payment options, workforce grant funding, and enrollment requirements
  • Start and organize enrollment paperwork
  • Update CRM after every call or interaction
  • Keep every lead organized with a status and next follow-up date
  • Send follow-up texts and emails
  • Prepare daily lead reports for management
  • Identify where leads are being lost and help fix the process
  • Help build and improve call scripts, checklists, and follow-up sequences
  • Coordinate with remote call support when needed
  • Escalate special cases to management — refunds, grant questions, unusual payment requests, compliance issues, or sensitive student situations

What You’ll Build

Alongside daily lead operations, you will actively build the systems that will eventually run without you doing everything manually:

  • CRM pipeline setup and lead tracking
  • Call scripts and objection handling guides
  • Follow-up sequences — Day 1, Day 3, Day 7, Day 14
  • Daily and weekly lead reporting templates
  • Process documentation so future hires can follow your work

Growth Opportunity

This position is designed to grow — and we mean it.

After the lead system is stable and performance standards are consistently met, this role transitions into a higher-level operations position with a salary increase. Future responsibilities may include:

  • Training staff on lead handling and tour processes
  • Creating after-hours lead response systems
  • Monitoring call quality and follow-up performance
  • Supporting compliance and student file organization
  • Helping coordinate marketing outreach and reporting
  • Building standard operating procedures across departments
  • Overseeing the full admissions operation

We are not offering a management title on Day 1. We are offering a real path to one — and we will invest the time to build it with you.

Advancement is earned through execution, reliability, system-building, reporting accuracy, and the ability to maintain high standards without constant supervision. Each stage comes with expanded responsibility and a salary increase.

Computer Skills — Important

You do not need to be a programmer. But you must be comfortable working with multiple systems all day. You should be comfortable with:

  • CRM systems
  • Phone software (RingCentral)
  • Google Sheets, Gmail, Google Drive, Google Calendar
  • Text and email follow-ups
  • PDFs and online forms
  • Multiple browser tabs simultaneously
  • Typing notes while speaking on the phone

If you are slow with computers or dislike working in systems, this role is not a good fit.

What We Are Looking For

We are looking for someone who is:

  • Strong on the phone — warm, clear, professional
  • Fast with follow-up — you don’t let things sit
  • Very comfortable using computers and multiple systems simultaneously
  • Organized with many leads at once
  • Comfortable with repetitive daily follow-up without losing focus
  • Persistent without being pushy
  • Professional and honest with prospects
  • A systems thinker — you see problems and want to fix the process, not just the symptom
  • Ambitious — you want to grow into running something, not just maintain it
  • Self-directed — you don’t need constant supervision to know what to do next
  • Serious about building something long-term

Preferred Backgrounds

Strong candidates may come from:

  • CDL school admissions
  • Trade school or career school admissions
  • For-profit college, tech bootcamp, or flight school admissions
  • Car dealership BDC (Business Development Center)
  • Insurance office sales/support
  • Gym membership sales
  • Medical or dental treatment coordination
  • Apartment leasing

This Role Is Not a Good Fit If You:

  • Want a management title without doing the phone work first
  • Only want to do strategy without executing daily tasks
  • Dislike repetitive follow-up
  • Avoid CRM documentation
  • Are slow with computers or dislike working in systems
  • Need constant supervision
  • Are too aggressive or pushy with prospects
  • Make promises just to close people
  • Cannot stay organized with many leads at once

Compensation

Starting pay: $24/hour

Strong performers receive a compensation review after the first quarter with a potential increase to $28/hour. We don’t make people wait a year to be recognized — if you’re the right person, we’ll know early and pay accordingly.

Realistic Year 1 earnings: $55,000–$70,000 depending on performance review timing and bonuses.

Bonus: A discretionary operational bonus may be available based on overall performance and work quality — including call response, CRM accuracy, follow-up discipline, and reporting standards. Bonuses are not guaranteed, not based on student enrollments or tuition revenue, and are awarded solely at leadership’s discretion.

Strong performance leads to a salary increase and advancement into a higher operations role.

No benefits package at this time.
