Entry-Level Administrative Assistant Operations Support (Remote)

Position Overview

We are seeking a dependable and detail-oriented Entry-Level Administrative Assistant to support remote operations and administrative workflows across regional teams serving the MENA region, including UAE, Qatar, and Saudi Arabia.

This role is ideal for individuals who perform well in structured environments, enjoy organizing information, and take pride in accuracy, consistency, and follow-through.

You will assist with day-to-day operational tasks such as maintaining records, updating trackers, organizing data, monitoring task progress, and ensuring documentation is complete and well maintained. This position offers a strong entry point into administration, operations support, or coordination, with clear expectations and opportunities for growth.

Extensive prior experience is not required. Success in this role depends on attention to detail, comfort with repetitive tasks, strong organizational skills, and proactive communication when information is unclear or incomplete.

Key Responsibilities

Administrative Data Management

  • Update and maintain spreadsheets and internal records daily
  • Review entries to ensure accuracy, completeness, and consistency
  • Standardize formatting across records (names, contact details, regions, identifiers, notes)
  • Identify and correct errors, duplicates, or incomplete data
  • Flag missing or inconsistent information for follow-up
  • Maintain clean, structured datasets to support reporting and operations

Task & Request Coordination

  • Review incoming administrative requests and categorize appropriately
  • Route tasks to the appropriate team members based on established workflows
  • Track progress from assignment to completion
  • Follow up on overdue or incomplete items to ensure timely resolution
  • Maintain clear documentation of task status and outcomes

Tracking, Logs & Reporting

  • Maintain operational trackers for completed, pending, and in-progress work
  • Log daily activities, updates, and follow-up items
  • Prepare brief daily or periodic summaries outlining progress and outstanding tasks
  • Identify recurring issues or data gaps and escalate patterns for improvement

Scheduling & Coordination Support

  • Assist with scheduling support, including confirming availability
  • Update calendars and internal schedules based on instructions
  • Send reminders and confirmations to ensure deadlines are met
  • Track completion of onboarding steps, internal checklists, or operational milestones

Quality Assurance & Record Accuracy

  • Review work before submission to ensure accuracy and compliance with guidelines
  • Maintain consistent file naming conventions and organized folder structures
  • Keep records updated, accessible, and well maintained
  • Support operational efficiency by ensuring systems remain clean and reliable

Performance Expectations

  • High accuracy with minimal errors
  • Consistent daily output and reliable task completion
  • Clear, timely communication when blocked or missing information
  • Strong organizational discipline and file management habits
  • Ability to follow standard operating procedures (SOPs) precisely

Required Qualifications

  • Comfortable using Google Sheets or Microsoft Excel
  • Strong attention to detail and ability to follow written instructions
  • Basic written communication skills
  • Ability to work independently in a remote environment
  • Reliable internet connection and access to a suitable computer
