We are looking for a friendly, organized, and dependable Health Care Appointment Scheduler Specialist (Day or Night) to join our team and help create a smooth, welcoming experience for patients from their very first interaction. In this role, you will be an important connection point between patients, providers, and internal departments, making sure appointments are scheduled accurately, questions are answered with care, and each person feels supported throughout the process. Whether working day or night shifts, you will play a key part in keeping daily operations running efficiently by coordinating calendars, confirming visit details, updating patient information, and helping manage changes such as cancellations, reschedules, and urgent scheduling needs. This position is ideal for someone who enjoys helping others, communicates clearly and kindly, and can stay calm and focused in a fast-paced health care environment. You will use scheduling systems, phone tools, and patient records platforms to arrange appointments across multiple providers or service lines while following privacy standards and internal procedures. Success in this role comes from balancing accuracy with empathy, as every call or message may come from someone who needs reassurance, timely assistance, or guidance on next steps. Responsibilities

  • Schedule, confirm, reschedule, and cancel patient appointments accurately for day or night coverage.
  • Answer incoming calls and messages in a warm, professional manner while assisting patients with scheduling needs.
  • Maintain and update patient demographic, insurance, and contact information in scheduling systems.
  • Coordinate with providers, nurses, and clinic staff to align appointment availability and special scheduling requests.
  • Document patient interactions, appointment changes, and relevant notes clearly and accurately.
  • Follow privacy, confidentiality, and organizational procedures when handling patient information.
  • Escalate urgent concerns, complex scheduling issues, or patient service matters to the appropriate team members.

Requirements

  • High school diploma or equivalent required; additional administrative or health care training is a plus.
  • Previous experience in appointment scheduling, medical office support, call center work, or customer service preferred.
  • Strong verbal and written communication skills with a friendly and patient-focused approach.
  • Ability to use scheduling software, electronic records systems, and standard office applications accurately.
  • Excellent organizational skills and attention to detail in a fast-paced environment.
  • Ability to work day or night shifts reliably, including weekends or holidays if needed.
  • Understanding of patient confidentiality standards and professionalism in handling sensitive information.
