We are seeking a detail-oriented and organized Equipment Inventory & Procurement Coordinator to support our operations by ensuring accurate tracking, documentation, and reporting of all purchased equipment. This individual will play a key role in managing the lifecycle of equipment purchases—from invoice review and data entry to inventory tagging and reporting—ensuring the Operations Team has up-to-date visibility of all assets. In addition to inventory responsibilities, this role may occasionally assist with answering incoming calls and is expected to provide excellent customer service in all interactions.
Key Responsibilities:
● Track and record all incoming purchased equipment in a timely and accurate manner.
● Review vendor invoices for accuracy, pricing, and completeness before approval.
● Assign and label equipment with unique inventory numbers or codes for tracking purposes.
● Enter detailed equipment information, including pricing and inventory codes, into QuickBooks.
● Maintain and update internal spreadsheets and inventory logs to create accurate and current equipment inventory lists.
● Work closely with the Operations Team to provide ongoing reports and updates regarding equipment status and location.
● Coordinate with vendors and internal teams to resolve discrepancies in invoices or deliveries.
● Assist in periodic audits of equipment inventory and ensure consistency between QuickBooks records and physical assets.
● Provide phone support as needed by answering incoming calls and directing them appropriately.
● Deliver friendly and professional customer service in person and over the phone.
● Support other administrative or inventory-related tasks as needed.
Qualifications:
● High school diploma or equivalent required; associate degree or relevant coursework in accounting, business, or logistics preferred.
● 2+ years of experience in inventory management, purchasing, bookkeeping, or administrative support.
● Proficient in QuickBooks and Microsoft Excel (spreadsheets, formulas, sorting, filtering).
● Strong attention to detail and accuracy in data entry and financial review.
● Excellent communication and customer service skills.
● Ability to work independently and manage multiple tasks in a fast-paced environment.
● Strong organizational and problem-solving skills.
Preferred Experience:
● Familiarity with agricultural or construction equipment is a plus.
● Experience working in a dealership, service, or equipment-related business environment.
Job Type: Full-time
Pay: $21.00 - $22.00 per hour
