Estate Administration & Title Specialist / Personal Representative

You will serve as the functional Personal Representative, running point on a high-volume portfolio from legal initiation through asset administration, debt resolution, and final. distribution. You'll work cross-functionally with our Legal, Real Estate, and Accounting teams.

What You’ll Do

This high-impact role blends legal, financial, and real estate expertise, with duties structured approximately as follows:

Estate Administration (50%): Execute the full scope of Personal Representative duties:

  • Locate, inventory, and secure all real and personal property.
  • Verify and apply for all benefits (annuities, retirement, life insurance, social security, veteran's).
  • Manage utilities, obtain forward mail, and notify beneficiaries.
  • Determine cash needs for estate expenses, taxes, and debt, coordinating asset sales if necessary.
  • Oversee the final distribution of assets and specific devises.

Paralegal & Compliance (25%): Prepare and submit all legal documents for the probate process:

  • Draft and file Petitions, Inventories, Accountings (interim and final), and Discharge documents.
  • Review and file tax returns (decedent's final income, federal/state estate, gift, intangible).
  • Check Probate Court records for claims; file objections where applicable.
  • Ensure all filings meet statutory deadlines and keep case files audit-ready.

Title & Lien Resolution (25%): Manage the financial clearance required for asset transfer:

  • Obtain and review title commitments for all estate properties.
  • Coordinate property tax, HOA/condo fee, and utility payoff requests.
  • Crucially, actively negotiate down outstanding liens, debts, and claims to maximize estate net value.
  • Verify credit for any estate tax paid on prior transfers.

You’re a Fit If You Have

  • Proven Experience: A minimum of 5+ years of experience as a Paralegal is mandatory.
  • Title Expertise: 5+ years of experience in Property Title or a closely related real estate conveyance/closing role is strongly preferred.
  • Financial Acumen: Significant experience in Accounting or comprehensive financial management (e.g., trust administration, tax preparation) is preferred.
  • Legal Background: Some college is required. A Juris Doctor (JD) is strongly preferred.
  • Execution & Organization: Exceptional ability to manage 30+ complex files simultaneously without dropping critical deadlines or financial details.
  • Negotiation Skills: Confidence and experience in effectively negotiating with creditors, lien holders, and third parties to achieve favorable financial outcomes for the estate.
  • Communication: Clear, professional, and empathetic communication with beneficiaries, courts, and financial institutions.

The Work Environment

  • This is an on-site role in Orlando, FL to start.
  • The position will transition to a hybrid model after a successful 6–8 month performance review period.
  • Remote/Out-of-State Candidates: Will only be considered if they are a "Unicorn," possessing 5+ years Paralegal, 5+ years Property Title, 5+ years Accounting, AND a JD.
