Description

As an Estimating Assistant, you’ll gain hands-on experience supporting our bidding and project coordination teams. You’ll learn how to read plans, interact with subcontractors, and contribute to the inner workings of high-end commercial construction projects. If you're detail-oriented, organized, and ready to be part of a fast-paced, dynamic team — this role is for you.

The Estimating Assistant (EA) facilitates the administration paperwork and timely operation of all the moving parts of the project bidding team. The Project Assistant works directly with the bid team and project coordination team. Commitment, setting priorities and Flexibility are crucial, as deadlines and requirements are often subject to change, depending on project needs.

What You’ll Be Doing

Under bid manager guidance

  • Call and coordinate with subcontractors across the U.S. — phone outreach is a key part of your day.
  • Support the bid process from start to finish: from downloading drawings to organizing proposals.
  • Help ensure all project scopes are covered by qualified subcontractors.
  • Participate in trade task rotations to learn how to read blueprints and understand scope bids.
  • Work closely with project coordinators during project closeout.
  • Manage bid documentation, update files, and support jobsite logistics.
  • Handle admin tasks like organizing invoices, credit card forms, and ordering site posters.
  • Using subcontractor bid list as a guide, make calls to subcontractors nationwide to ensure receipt of our bid invitation, solicit interest, secure commitments to bid, and lock down qualified proposals. NOTE: Phone calls are a sizable portion of the job and are critical to success in the position. You will be expected to make an average of forty daily calls or more per day during busy bid season
  • Send bid RFIs and distribute corresponding RFI responses to bid team and relevant subcontractors & suppliers.
  • Use effective people skills to build subcontractor trust and rapport through phone and email communication.
  • Explain bid documents and other relevant sources to draft formal ITBs and distribute to subcontractors and suppliers
  • Works with project coordinators during the close out process - completes and organizes closeout tasks (punch list, certificate of occupancy, warranties, operations, and maintenance manuals) accurately.
  • Requests current mall rules and regulations are obtained prior to bid (when applicable) or prior to possession of the job site.
  • Other clerical duties as assigned

Qualifications

What You Bring:

  • 1–2 years of experience with a commercial GC/CM preferred
  • 2+ years of admin experience and strong computer skills - (especially Excel)
  • Excellent communication and follow-up skills — phone and email
  • Comfortable making 40+ phone calls per day during active bid seasons
  • Ability to multitask, stay organized, and meet shifting deadlines
  • Familiarity with construction plans a plus (but we’ll teach you if not!)
  • Bachelor’s in Construction, architecture or related field is a bonus
  • SharePoint experience is a plus
