Job Description:
1. Contract and Cost Data Management
- Regularly update consolidated contract records in coordination with the Estimation Department to ensure all data is accurate, current, and aligned with approved terms.
- Maintain and update consolidated AMC costing sheets to ensure consistency with the contracts tracker and approved financial documents.
- Perform cost value reconciliation (CVR) updates periodically to maintain alignment between costing sheets, contract trackers, and actual project performance.
2. Budget and Cost Control
- Prepare and monitor monthly budgets by comparing actual costs against budgeted figures for consumables, spares, materials, tools, and subcontractor-related expenses.
- Highlight cost variances, analyze underlying causes, and recommend corrective measures to management.
- Support the implementation of cost control procedures and maintain proper documentation for audit and review purposes.
3. Procurement and Sales Support
- Track and manage the sales quote approval process, ensuring that all quotations are reviewed, approved, and logged in a timely manner.
- Manage purchase request (PR) approvals and coordinate with procurement to facilitate smooth and cost-efficient purchasing operations.
- Monitor supplier and subcontractor expenses, ensuring alignment with approved budgets and contractual terms.
4. Cost Optimization and Value Engineering
- Participate in value engineering exercises to identify cost reduction opportunities without compromising service quality or project performance.
- Collaborate with operations and project teams to analyze cost data and identify practical cost-saving measures.
- Maintain a proactive approach in monitoring and improving financial efficiency within ongoing contracts and projects.
5. Reporting and Analysis
- Prepare and submit all monthly cost reports, budgets, and reconciliations within the first week of every month for management review.
- Ensure reports provide clear insights into financial performance, cost deviations, and potential savings.
- Support management in decision-making by providing timely, accurate, and data-driven financial analyses.
6. Ad-hoc Responsibilities
- Support the line manager with ad-hoc assignments and financial analysis tasks as required.
- Assist in process improvement initiatives related to budgeting, reporting, and financial governance.
