Evening Program (YB Flex) - Program Operations Manager

Job Title: Program Operations Manager

Full-Time, 12 Month, Level 4

Reports To: Evening School Principal

Supervisory Responsibilities: Provide coaching and management to assigned staff

Hours of Operation:

March 2026 – September 2026 (Pre-Launch): YouthBuild school hours schedule 8:00 a.m. – 4:00 p.m. with occasional evenings/weekends for launch planning, recruitment, and onboarding.

Beginning September 2026: Expected schedule of 1:00 p.m. – 9:00 p.m., aligned to evening program hours, with the understanding that school leadership may require availability beyond the schedule noted above.

Who We Are

YouthBuild Philadelphia Charter School is a tuition free public charter high school serving young people ages 17–20 who have been pushed out of traditional schools. Our program supports students in earning a high school diploma while gaining career exposure, industry certifications, and postsecondary pathways. YouthBuild operates within a restorative, community centered culture grounded in respect, excellence, and perseverance. The Evening School (YB Flex) is a new program designed for students who are working during the day and need a flexible pathway to earn their diploma and build a career path.

The Opportunity

The Program Operations Manager is a key member of the launch team and works closely with the Evening School Principal in launching and sustaining a high-impact evening program at YouthBuild. Serving as a cross-functional partner to academic, workforce, advising, and leadership teams, this role manages compliance, logistics, technology, and operational systems while cultivating an engaging and supportive student experience. Because the Evening School operates with a smaller team and extended hours, this role combines responsibilities typically distributed across multiple positions in a traditional school setting, including operations coordination, enrollment management, compliance support, and program logistics. This position is ideal for a highly organized systems builder who thrives in a start-up environment and is excited to help launch and grow a new program serving opportunity youth.

Highly preferred…

  • Five or more years of experience in school operations, program management, enrollment, compliance, or a related field
  • Comfortable providing first-level IT and technology support, including troubleshooting classroom technology, supporting A/V needs for school-wide events, resetting passwords, and assisting staff and students with technology needs
  • Experience working in education or youth serving organizations preferred
  • Demonstrated experience managing complex operational systems or projects
  • Strong communication and project management skills and a Bachelor’s degree

What You Will Do:

Recruitment, Enrollment and Data

  • Lead coordination of the Evening School recruitment and enrollment pipeline
  • Manage applicant lifecycle from inquiry through enrollment and onboarding
  • Track and report enrollment, persistence, and onboarding data to leadership
  • Coordinate recruitment events, information sessions, and partner outreach
  • Serve as liaison between admissions, outreach, and program teams
  • Develop and refine systems to improve enrollment and onboarding efficiency

Operations, Logistics and Facilities

  • Maintain student records and ensure audit ready documentation systems
  • Support compliance with charter, state, and grant reporting requirements
  • Coordinate attendance tracking and reporting processes
  • Support documentation of student participation, enrollment, and program hours
  • Partner with leadership on reporting and compliance monitoring
  • Lead daily operational systems and logistics for the Evening School program
  • Coordinate vendors, procurement, transportation, food services, and facilities needs
  • Maintain operational trackers, calendars, and workflows
  • Support operational budget tracking and purchasing processes
  • Ensure operational readiness for daily programming
  • Provide first-level IT support to evening staff and students
  • Maintain inventory of technology equipment (laptops, Chromebooks, cell phones, etc.) used by evening staff and students
  • Accept and provide IT turnover from/to daytime IT staff to support continuity of technology operations surrounding longer-term IT issues
  • Support miscellaneous IT work that must be done during evening hours

Student Support and Student Experience

  • Coordinate planning and execution of orientations, graduations, recruitment events, and community events
  • Coordinate logistics across academic, workforce, and advising teams
  • Support cross team planning and program implementation
  • Partner with the Evening School Principal to develop and refine program systems and procedures
  • Identify operational gaps and implement process improvements
  • Lead operational planning and execution to ensure a successful launch and sustained growth of the Evening School program
  • Serve as a key cross functional partner supporting staff and students
  • Provide mentorship to a small cohort of students, supporting persistence and graduation readiness
  • Provide coaching, performance feedback, and operational guidance to designated evening staff members as assigned by the Evening School Principal
  • Perform other duties as assigned by the Evening School Principal

Salary Range:

New YouthBuild staff can expect a starting salary of between $65,000 -$75,000 based on years of experience, education, and certifications, if applicable.
