As our Seasonal Event Administrative Assistant, you'll be the organizational backbone of Dark Harbor operations—keeping leadership focused, vendors coordinated, and the back office running smoothly while one of LA's most iconic seasonal events comes to life around you.
Administrative & Office Support
Manage incoming emails, calendar scheduling, and day-to-day administrative tasks for Dark Harbor leadership
Draft, proofread, and route correspondence with professionalism and accuracy
Maintain organized digital and physical filing systems for event documentation, contracts, and records
Vendor & Financial Coordination
Communicate with staff and vendors to coordinate deliveries, confirm timelines, and track outstanding invoices and payments
Track and reconcile event-related expenses, flagging discrepancies and ensuring timely submission to the corporate accounting team
Serve as the on-site liaison between Dark Harbor operations and corporate finance, keeping both sides aligned and informed
Provide responsive daytime support to Dark Harbor leadership across all phases of the event season—pre-opening, run of show, and strike
Assist with select evening events including media night and special show nights, providing on-site administrative and logistics support as needed
Anticipate leadership needs and proactively resolve scheduling conflicts, supply gaps, or communication breakdowns before they escalate
2+ years of administrative or office support experience—event, entertainment, or hospitality industry experience strongly preferred
Strong written and verbal communication skills with a polished, professional presence
Exceptionally organized and detail-oriented with the ability to manage multiple priorities simultaneously without dropping the ball
Proficiency in Google Workspace; familiarity with accounting or expense tracking platforms is a bonus
A flexible, solutions-first attitude and genuine willingness to roll up your sleeves when the season demands it
Must be 18 years of age or older
Hourly Rate: $25 - $28 based on experince
Employment Type: August- November
Expected Season Duration: Late September – Early November 2026
Work Schedule: Evenings, weekends, and holidays required during operational season
This is a seasonal/temporary position with an anticipated end date. Employment beyond the stated season is not guaranteed.
