Job Summary
We are seeking a high-energy, detail-oriented Events and Marketing Coordinator to drive our private dining and off-site catering sales while driving our brand's local marketing efforts. In this role, you will act as the face of our events program—handling inquiries, customizing menus, and ensuring flawless execution. Simultaneously, you will manage our social media, email marketing, and community outreach to keep our dining room buzzing.
The Events and Marketing Coordinator coordinates the overall planning and execution of all scheduled events for Cultivated Table, both internal and external events. Working closely with the Sales & Culinary Teams, the Event Coordinator guides clients in planning all aspects of their events, from menu, logistics and décor. The Event Manager works closely with the GM and Catering team in fulfilling and exceeding the clients’ vision while delivering high quality service and outstanding event experiences.
Key Responsibilities
Events & Catering Sales
- Lead Management: Respond to all private dining and catering inquiries promptly, conducting site tours and tastings for prospective clients.
- Event Planning: Coordinate all logistics for on-site private parties, holiday buyouts, and off-site catered events (e.g., weddings, corporate lunches).
- BEO Creation: Generate detailed Special Event Orders and communicate dietary restrictions and timelines clearly to the Executive Chef and kitchen team.
- On-Site Coordination: Oversee the setup, execution, and breakdown of events, acting as the primary point of contact for the host.
Restaurant Marketing & Promotion
- Social Media Management: Create engaging photo and video content featuring our dishes, drinks, and event spaces for Instagram, Facebook, and TikTok.
- Local Store Marketing: Build partnerships with local businesses, hotels, and wedding planners to drive catering referrals.
- Campaign Execution: Run email marketing campaigns to promote seasonal menu changes, holiday pre-orders, and weekly specials.
- Review Management: Monitor and respond to guest feedback on platforms like Yelp, Google Business, and TripAdvisor to maintain a stellar online reputation.
Financials & Administration
- Revenue Targets: Meet or exceed monthly sales goals for catering & special events.
- Invoicing: Process deposits, final payments, and contracts securely and accurately.
- Menu Pricing: Collaborate with the culinary team to ensure event packages are both profitable and competitive in the local market.
Skills and Qualifications
Essential Requirements
- Experience: 2 to 4+ years in restaurant event sales, banquet management, or hospitality marketing.
- Tech Stack: Proficiency with restaurant event management software (e.g., Tripleseat, Gather)
- Availability: Must be willing to work a flexible schedule, including evenings, weekends, and holidays based on event schedules.
- Communication: Strong hospitality mindset with the ability to handle high-stress visual environments calmly.
Preferred Qualifications
- Existing network of local corporate clients, event planners, or concierges.
- Basic graphic design skills (e.g., Canva) for creating physical menus and digital flyers.
- Food handler or alcohol service certification (e.g., ServSafe).
