Event Assistant

About the Role

As an Event Assistant, you will be the backbone of our on-the-ground success. You will be responsible for assisting with event logistics, coordinating vendor schedules, managing materials, and providing on-site support to ensure everything runs smoothly. You will work closely with the events team to maintain high standards of execution, directly contributing to a seamless and engaging experience for our guests.

What You'll Do

Logistics & Preparation

  • Assist in the preparation, packing, and tracking of event materials, signage, and promotional supplies.
  • Coordinate the load-in and load-out process, ensuring all equipment and materials arrive safely and on time.
  • Help set up event spaces, including arranging seating, vendor booths, displays, and registration areas.
  • Review and maintain accurate checklists, vendor lists, and run-of-show documents.
  • Manage event inventory before and after each function to ensure all company assets are accounted for.

On-Site Execution & Support

  • Act as a reliable point of contact for vendors, speakers, and attendees during the event.
  • Manage the registration desk, oversee the check-in process, and warmly handle attendee inquiries.
  • Troubleshoot on-site issues quickly and professionally to minimize disruptions to the event flow.
  • Assist with stage transitions, basic audio/visual checks, and general crowd management.
  • Ensure the venue remains clean, safe, and highly organized throughout the duration of the event.

Administrative & Team Collaboration

  • Communicate schedule changes, delays, or logistical updates to the broader team promptly.
  • Collaborate with event managers to fulfill VIP requests or handle last-minute needs.
  • Assist with post-event wrap-up, including data entry, attendee survey collection, and returning inventory to storage.
  • Maintain a positive, proactive, and team-oriented attitude, even under pressure.

What We're Looking For

  • Strong organizational skills and an impeccable attention to detail.
  • Ability to thrive in a fast-paced environment and adapt quickly to changing circumstances.
  • Physical ability to stand, walk, lift, and move event materials (up to [Insert weight, e.g., 50 lbs]).
  • Excellent verbal communication and interpersonal skills.
  • Reliable, punctual, and willing to work flexible hours, including evenings and weekends as event schedules require.
  • Natural problem-solving abilities and a calm demeanor when handling on-site challenges.
  • Previous experience in event coordination, hospitality, customer service, or a related role is preferred but not required. We provide training for the right candidate!
