Position Overview

Reports to: General Manager, Tuxedos and Tennis Shoes Catering
Status: Full Time
Location: 4105 Airport Way S, Seattle, WA 98108
Pay Rate: $24.00 per hour

The Event Concierge is an essential administrative and operational support role for the Sales and Operations teams. This position ensures that our office and venue spaces are organized, welcoming, and fully prepared for clients, vendors, and team members each day.

This role is ideal for someone who enjoys keeping systems organized, supporting a team behind the scenes, and taking pride in making sure every detail is handled. The Event Concierge plays a key role in daily office readiness, event preparation, and maintaining professional front-facing communication.

Key Responsibilities

Office and Venue Readiness

  • Open the venue and office each day, ensuring lights are on, common areas are clean and organized, and spaces are tour-ready.
  • Maintain a clean and welcoming front office environment.
  • Receive and distribute incoming mail and packages promptly and accurately.
  • Check and manage the outside mailbox weekly, including proper key management.
  • Update the kitchen whiteboard with weekly event details, including tastings and marketing events.
  • Ensure proper posting of required permits and licenses and replace annually as needed.

Administrative Support for Sales and Event Operations

  • Answer incoming phone calls with professionalism and warmth.
  • Check voicemail daily and return calls promptly.
  • Log calls and add new inquiries to HubSpot.
  • Break down completed event binders and build invoice packets for the Sales Team. Distribute invoice packets appropriately.
  • Build and prepare new event binders two days in advance of scheduled events. Including the production of menu cards and additional event signage.
  • Print week sheet for the weekly production meeting and take detailed notes, including lead chef, in-out-end times, service type, and debit card needs.
  • Update monthly Hall at Fauntleroy event schedules and follow the Hall Heat Report process.
  • Create and post birthday and work anniversary posters monthly.

Systems, Documentation, and Compliance

  • Maintain and update the Key and Debit Card Log for 2026.
  • Follow internal documentation procedures across SharePoint, Teams, CaterEase, and HubSpot.

Office Supply and Purchasing Coordination

  • Maintain office supply inventory and place supply orders through approved vendors.

Meetings and Team Support

  • Attend bi-weekly Sales and Event Operations meetings.
  • Participate in weekly Production Meetings
  • Support team initiatives such as Celebration Lunches and team bonding events when applicable.

Skills and Qualifications

  • Strong organizational skills and attention to detail.
  • Clear and professional communication skills, both written and verbal.
  • Comfortable answering phones and interacting with clients in a polished and welcoming manner.
  • Ability to manage multiple administrative tasks with accuracy and timeliness.
  • Proficient in Microsoft Office. Experience with CaterEase, HubSpot, Canva, Nowsta, 8x8, and SharePoint preferred.
  • Dependable, proactive, and comfortable supporting a fast-paced hospitality environment.

Experience

  • Previous experience in an administrative, office support, or customer service role preferred.
  • Hospitality or event industry experience is helpful but not required.
