Position Title: Event Coordinator

Classification: Part-Time, Non-Exempt, 25-30 hours/month

Reports To: Executive Director

Location: Hybrid out of San Diego, CA. This role includes occasional on-site attendance of meetings and events.

Position Summary:

The Event Coordinator plays a key role in planning and managing events (both onsite at the EO House and off site) and providing ongoing administrative support. The Event Coordinator ensures that the chapter’s events and programs are delivered on time, within budget, and to the highest standard. Working closely with the Executive Director, Chapter Coordinator, Board Chairs, and other stakeholders, this position requires strong project management skills, an ability to handle multiple priorities, and a passion for helping entrepreneurs achieve their full potential through the chapter’s programs and initiatives.

Key Responsibilities:

Event Planning and Management:

· Plan and coordinate all EO in person events ranging from learning, social, MyEO, and Lunch and Learns.

· Handle all event logistics, including booking venues, arranging catering, confirming A/V, and managing vendor contracts.

· Oversee day-of-event logistics, ensuring smooth operations, including set-up, registration and badges, timeline management, surveys, and tear-down.

· Create and manage event budgets and supply event reporting, ensuring all events are delivered within budget.

Event Promotion and Marketing:

· Develop and implement marketing plans for events, including social media campaigns, email invitations, and promotional materials.

· Collaborate with the marketing team to create content that aligns with event goals and maximizes engagement.

Participant Engagement:

· Act as the main point of contact for event participants and vendors, addressing inquiries and providing support before, during, and after events.

· Develop strategies to increase participant engagement and satisfaction.

Post-Event Analysis:

· Conduct post-event evaluations and analysis to assess the success of events, identify areas for improvement, and implement feedback.

· Prepare detailed post-event reports for review by the Executive Director and Board Chairs.

Administrative Support:

· Maintain and update the EO Chapter calendar and EO Network, ensuring all key events are scheduled and communicated effectively.

· Handle administrative responsibilities for post-event follow-up, including event surveys, analyzing feedback, and generating reports.

Vendor and Venue Management:

· Establish and maintain strong relationships with vendors and venues, ensuring services meet the chapter’s needs.

· Scout and evaluate venues to ensure they align with the event’s goals and budget.

Budget and Financial Management:

· Ensure accurate collection of payments for events.

· Manage event budgets and ensure they are adhered to throughout the planning process.

Qualifications:

Experience:

· 3-5 years of experience in event or meeting planning.

Education:

· High school diploma or equivalent required; bachelor’s degree preferred.

· Events & Meetings certificate a plus.

Skills:

· Excellent written and verbal communication skills, with an emphasis on clarity and professionalism.

· Strong attention to detail and problem-solving skills.

· Ability to work independently and as part of a team in a fast-paced environment.

· Strong project management and organizational skills, capable of managing multiple priorities.

· Proficient in Google Suite, Microsoft Excel, Ticketblox, and SurveyMonkey.

· Ability to remain calm under pressure while maintaining a customer service-oriented attitude.

Compensation and Benefits:

· Pay rate of $30-35/hr.
