Job Summary
We are seeking a highly organized and proactive Event Coordinator to oversee the planning and execution of conferences, workshops, CME events, exhibitions, and corporate meetings. The candidate will manage all operational aspects of events from initiation to post-event closure, ensuring smooth coordination with sponsors, speakers, attendees, venues, and vendors.
The ideal candidate should have strong communication skills, attention to detail, and the ability to manage multiple tasks under tight deadlines.
Key ResponsibilitiesEvent Planning & Execution
- Coordinate end-to-end event operations and execution
- Support event initiation, timelines, and implementation plans
- Ensure all event activities are delivered according to schedule and quality standards
- Coordinate onsite event management and troubleshooting
Sponsor Management
- Communicate with sponsors regarding packages, deliverables, branding, and logistics
- Follow up on sponsorship agreements, payments, and requirements
- Ensure sponsors receive agreed benefits during the event
Speaker & Faculty Coordination
- Liaise with speakers, moderators, and scientific committees
- Coordinate speaker invitations, confirmations, presentations, and travel requirements
- Ensure timely collection of bios, presentations, and required documents
Registration & Attendee Management
- Manage attendee registration process and databases
- Coordinate badges, attendance tracking, and certificates
- Respond to participant inquiries professionally and promptly
Logistics & Operations
- Coordinate venue setup, AV requirements, catering, transportation, and accommodation
- Work with suppliers and vendors to ensure smooth delivery
- Monitor event materials and inventory
Communication & Reporting
- Prepare operational reports and event updates
- Maintain communication with stakeholders and team members
- Assist with post-event reports and evaluations
Qualifications
- Bachelor’s degree in Event Management, Business Administration, Marketing, or related field
- 2–5 years experience in event coordination or conference management
- Experience in medical/CME conferences is preferred
- Excellent verbal and written English communication skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office and event platforms such as Zoho Backstage is an advantage
