Description:
The Event Laborer is a temporary, part-time role that supports the preparation of supplies and materials for AIDS Walk New York 2026. Working under the direction of the AWNY Logistics Leads, the person in this role helps organize, inventory, pack, label, move, and prepare event supplies within a fast-paced, deadline-driven environment. This role helps ensure AIDS Walk New York materials and supplies are organized, accurate, and event-ready in advance of the 2026 event. This position is based in GMHC’s climate-controlled storage unit located at 43rd Street and 9th Avenue.
Essential Job Functions
This role will be responsible for the following duties:

Separate, sort, and inventory supplies and materials stored for AIDS Walk New York 2026.

Count inventory accurately and assist with preparing inventory reports.

Pack storage bins with event supplies based on established packing lists and instructions.

Label bins, boxes, and other packed materials clearly and accurately.

Test bullhorns and other designated event materials to confirm they are functioning properly.

Communicate supply status, shortages, damaged items, or potential issues to the AWNY Logistics Leads in a timely manner.

Communicate clearly with AWNY Logistics Leads and team members regarding supply status, concerns, and event preparation needs.

Maintain an organized, clean, and functional storage environment throughout the packing process.

Follow written and verbal instructions accurately with minimal supervision.

Follow safe lifting and handling practices when moving bins and event materials.

Support additional packing, moving, and event preparation duties as assigned to help ensure successful event readiness.

Preferred:

Previous experience with packing, inventory, event support, warehouse support, or logistics-related work.

Requirements:
Education and Certification

High School Diploma required or equivalent work experience.
Technical Skills

Ability to complete simple written tracking sheets, labels, and inventory counts accurately.

Microsoft Excel: Basic familiarity with spreadsheets or inventory tracking tools.
Work Environment & Schedule

Part-time flexible schedule of three (3) days per week, 10:00 AM – 4:00 PM, based on event preparation needs.

This is an on-site position based in a climate-controlled storage unit located at 43rd Street and 9th Avenue.

The role requires regular, consistent on-site attendance during the temporary assignment period.

Work is performed in a storage and event preparation environment with frequent handling of bins, supplies, and event materials.

Must comply with all GMHC workplace policies and applicable health and safety guidelines.

Support AIDS Walk New York 2026 preparation activities is required as assigned.
Physical Demands
While performing the duties of this role, the employee is required to:

Stand and move for extended periods while sorting, packing, labeling, organizing, and preparing supplies.

Lift, carry, move, and stack bins and event materials weighing up to 50 pounds.

Bend, reach, push, pull, and move between storage and packing areas throughout the workday.

Use hands repetitively for packing, labeling, counting, and handling materials.

Maintain focus and accuracy while performing repetitive physical and inventory-related tasks in a deadline-driven environment.
