The Role: Execute Flawless Events from Concept to Completion
The Event Management & Operations Specialist is responsible for the end-to-end planning, coordination, and on-site execution of various events. This role requires a resourcefulness, meticulous attention to detail, and a strong ability to solve problems in real-time under pressure.
Key ResponsibilitiesI. End-to-End Event Planning & Logistics
- Detailed Planning: Manage all aspects of event planning, technical details, designs, ensuring strict adherence to deadlines and budget demands.
- Logistics Coordination: Plan and facilitate all event logistics, including contract negotiations, venue preparation, presentation materials, catering, entertainment, transportation, and equipment.
- Recce & Layouts: Conduct necessary site visits (Recce) and prepare detailed event documents, including floor plans, layouts, technical handling and timelines.
- Standard Procedures: Establish standard operating procedures (SOPs) for event execution and train on-site staff/volunteers to ensure consistency and quality adherence.
II. Vendor & Stakeholder Management
- Vendor Sourcing: Build and maintain a comprehensive database of industry contacts, trusted vendors, and venues.
- Negotiation: Lead contract negotiations, manage vendor bookings, and review vendor quotations to ensure compliance, quality, and cost-effectiveness for all goods and services.
- Internal Collaboration: Collaborate closely with Sales, Design, and Production teams to establish event needs and ensure seamless operational support for project plans.
III. On-Site Execution & Troubleshooting (Core Focus)
- On-Site Leadership: Serve as the lead on-site coordinator, overseeing all preparations, production, and event breakdown.
- Real-Time Problem Solving: Manage and resolve escalated on-site issues and deviations in event plans quickly and effectively to ensure a flawless attendee experience.
- Compliance: Ensure compliance with all legal, insurance, health, and safety regulations at all times.
- Work Hours: Ability to work evenings, weekends, a nd holidays as required for event execution.
Candidate Requirements
- Experience: Minimum 2-4 years of proven success in event planning, coordination, or a related role in luxury hospitality/events.
- Skills: Exceptional organizational, time management, and multitasking abilities with meticulous attention to detail.
- Core Competencies: On-ground management,Strong negotiation, problem-solving, and conflict-resolution skills. Ability to handle pressure and make split-second decisions.
- Tools: Proficient in Microsoft Office Suite and familiar with event management or registration software.
- Attributes: Resourceful, flexible, a team player, and proactive in identifying and solving operational challenges.
- Working knowledge of interpreting and providing feedback on technical floor plans and production drawings
