SUMMARY: The Event Marketing Specialist is responsible for planning, coordinating, and executing events that promote the organization’s brand, programs, and fundraising initiatives. This role combines event management, marketing strategy, and creative design to deliver engaging experiences for attendees and stakeholders. The ideal candidate is highly organized, creative, and comfortable managing multiple projects simultaneously. This position requires occasional evening, weekend, and after-hours work to support events.
DUTIES AND RESPONSIBILITIES:
Event Planning & Coordination

Plan, coordinate, and execute in-person and virtual events including fundraisers, community events, conferences, and promotional activities.

Manage event logistics such as venue selection, vendor coordination, registration systems, catering, audiovisual needs, and on-site setup.

Develop event timelines, run-of-show documents, and operational plans.

Coordinate with internal teams and external partners to ensure seamless event execution.

Oversee event setup, breakdown, and on-site troubleshooting.
Marketing & Promotion

Develop and implement marketing strategies to promote events and increase attendance and engagement.

Create promotional materials including digital ads, flyers, invitations, and social media graphics.

Collaborate with marketing teams to execute email campaigns, social media promotions, and website updates related to events.

Track and report event performance metrics such as attendance, engagement, and ROI.
Fundraising

Support and coordinate fundraising events and sponsorship opportunities

Work with leadership and development teams to identify and cultivate event sponsors.

Assist with donor communication, recognition, and stewardship during and after events.
Design & Content Creation

Design event marketing materials using graphic design software (such as Adobe Creative Suite, Canva, or similar tools).

Create visually compelling presentations and reports using PowerPoint.

Ensure all event materials align with brand guidelines and messaging.
Administrative:

Maintain event calendars, planning documents, and project timelines.

Manage registration systems and attendee communication.

Conduct post-event evaluations and recommend improvements for future events.

Assist in developing and managing event budgets.
QUALIFICATIONS:

High school diploma or equivalent required; Bachelor’s degree in Marketing, Communications, Event Management, or a related field preferred (or equivalent professional experience).

2+ years of experience in event planning, marketing, or related roles.

Experience supporting or coordinating fundraising events is strongly preferred.

Strong organizational and project management skills with attention to detail.

Proficiency in PowerPoint and the ability to create professional presentations.

Experience with graphic design software (Adobe Creative Suite, Canva, or similar tools).

Excellent written and verbal communication skills.

Ability to manage multiple projects and meet deadlines in a fast-paced environment.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Frequently required to sit, stand, and walk for extended periods during event planning and on-site event support.

Continually required to utilize hand and finger dexterity for operating computers, office equipment, and event materials.

Continually required to use visual acuity to read technical information, review documents, and work on a computer.

Continually required to communicate effectively, including talking and hearing in person and by phone or virtual platforms.

Occasionally to frequently required to lift, push, or carry materials and equipment weighing up to 25 pounds, including event supplies, signage, and promotional materials.

Occasionally assist with event setup and breakdown, including arranging tables, displays, and materials.

May occasionally work in environments with loud noise, fumes, or airborne particles depending on event venues or locations.

Ability to travel locally to event locations as needed.
