Event Operations – Role Overview
We are looking for a proactive and detail-oriented Events Operations professional to lead and execute the end-to-end operational and logistical aspects of our events. This role is crucial in ensuring seamless event delivery, vendor coordination, budgeting, team collaboration, and high-quality delegate and partner experiences.

Roles & Responsibilities

  • Vendor & Venue Management: Build and maintain strong relationships with vendors and venues, ensuring cost-effective sourcing and production capabilities. Handle negotiations, contracts, and site validations to ensure suitability and compliance.
  • Event Planning & Execution: Oversee end-to-end event logistics including layouts, seating, F&B, guest flow, and contingency planning. Lead seamless onsite execution—managing onsite teams, guest arrivals, briefings, and real-time troubleshooting with a polished and professional approach.
  • Stakeholder Coordination: Liaise with sponsors and speakers to ensure all onsite deliverables and branding are fulfilled. Coordinate with internal teams for accurate execution of design assets and branding placements.
  • Compliance & Administration: Ensure timely application and approval of all event-related permits and licenses. Maintain detailed documentation including contracts, approvals, and budget trackers.
  • Cross-Functional Collaboration: Work closely with internal teams—marketing, design, sponsorships, and production—to align deliverables, timelines, and expectations. Support tech integrations such as registration systems, speaker schedules, and engagement tools.
  • Logistics & Travel Management: Manage all travel and accommodation requirements for internal teams, speakers, and VIPs. Coordinate flight bookings, rooming lists, airport transfers, and related logistics. Liaise with finance teams and vendors to ensure timely processing of payments, invoices, and reimbursements.

Key Requirements

  • 2–6 years in events operations (B2B events, conferences, exhibitions preferred)
  • Excellent planning, coordination, and time management skills
  • Ability to multitask under pressure and meet tight deadlines
  • Strong communication and negotiation skills
  • Excellent organizational capabilities and a high level of professionalism in onsite coordination
  • Passion for creating high-quality attendee experiences
  • Willingness to travel for physical events (domestic/international)
  • Proficiency in Microsoft Office, Google Suite, and project management tools is preferred
  • Adaptability across geographies and markets

Job Type: Full-time

Pay: AED7,000.00 - AED10,000.00 per month
