Event Procurement and Vendor Management

We are looking for an Event Procurement & Vendor Management Executive with 3–5 years of relevant experience, preferably from the events or experiential industry. The role requires managing end-to-end procurement, developing a reliable vendor network, ensuring cost efficiency, quality, and timely delivery for event and mall décor projects.

• Manage end-to-end procurement for event-related materials including fabrication, décor, branding, printing, AV, rentals, logistics, and manpower
• Identify, evaluate, negotiate, and onboard vendors aligned with project and quality requirements
• Obtain quotations, perform cost comparisons, negotiate commercial terms, and issue purchase/work orders
• Build and maintain strong relationships with vendors across multiple categories and locations
• Ensure timely material delivery and vendor execution as per project schedules
• Monitor vendor performance and resolve quality, cost, or timeline-related issues
• Coordinate closely with internal teams (design, projects, operations, and finance) to understand project needs
• Track procurement budgets, control costs, and support margin optimization
• Maintain vendor records, rate cards, contracts, invoices, and procurement documentation
• Support on-ground coordination during event setup and execution when required

Required Skills & Qualifications

• Bachelor’s degree in Business, Supply Chain, Operations, or a related field
• 3–5 years of experience in procurement and vendor management
• Prior experience in events, exhibitions, experiential marketing, mall décor, or branding agencies preferred
• Strong negotiation, communication, and coordination skills
• Good understanding of event production materials and execution processes
• Ability to manage multiple projects under tight timelines
• Proficiency in MS Excel and procurement documentation

Preferred Candidate Profile

• Existing vendor base in fabrication, printing, AV, logistics, and event production
• Willingness to travel and work flexible hours based on project requirements
• Hands-on, solution-oriented, and detail-focused approach

Pay: ₹30,000.00 - ₹60,000.00 per month
