Event Production & Operations Manager

India

The Event Production & Operations Manager will be responsible for managing logistics, timelines, on-ground execution, and team coordination for all weddings, shoots, and LIVXS-managed events.

This role demands a high level of planning, clear communication, and the ability to solve problems in real-time.

The ideal candidate should be process-oriented, quick on their feet, and experienced with fieldwork in media or event production.

Key Responsibilities

1. Pre-Event Coordination

  • Finalize and confirm shoot/event schedules with the client 48 hours before each function
  • Share final briefs, Google Map links, dress code, and packing lists with the creative and ops teams.
  • Coordinate with internal team leads (camera, sound, logistics) to confirm gear and travel readiness.
  • Ensure calendar sync and reminders are active across relevant teams using Zoho Calendar.

2. On-Ground Execution

  • Arrive 30–60 minutes before the shoot to conduct venue recce and manage team setup.
  • Oversee timelines, coordinate between photography, cinematography, and client-facing teams
  • Ensure data dump procedures are followed after each function (SSD backup, folder labelling, etc.)
  • Capture real-time updates and flag issues immediately to the Project Manager or Ops Head

3. Logistics & Team Operations

  • Manage transport, food arrangements, and gear handling for field teams
  • Ensure equipment checklist is followed; handle emergency requirements with vendor contacts
  • Maintain attendance and conduct team debriefs post-event (via Zoho Projects).

4. Post-Event Reporting

  • Ensure function is marked as “Complete” in Zoho Projects, triggering handoff to post-production
  • Submit a shoot day report with any issues, feedback, or missing data to the Ops Head
  • Assist in gear return, damage checks, and incident reports if applicable.

Key Skills Required

  • Strong coordination and time management, especially under pressure
  • Working knowledge of event shoot formats (Haldi, Mehendi, Cocktail, Wedding, etc.)
  • Experience handling vendors, freelancers, and large teams
  • Comfortable with tools like Zoho Projects, WhatsApp Business, Zoho Calendar, and basic Zoho CRM
  • Basic understanding of media equipment (camera gear, lighting, drones) is a bonus

Qualifications Preferred

  • 1–3 years of experience in event production, operations, or live shoot coordination
  • Degree or diploma in Event Management, Media Production, or related field
  • Ability to travel frequently for destination events (Delhi NCR + PAN India)
  • Strong spoken Hindi and English for team and client communication
  • Experience in luxury or high-end wedding planning
  • Strong vendor network in the wedding industry.

Job location - Sector 43, Gurgaon, 122001
Shift time- 10 am to 6:30 pm
No. of working days - 6 days
Note:- Need a candidate who can join immediately and have personal laptop

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹40,000.00 per month
