Over the Top Tents and Events is looking for an energetic and organized Event Coordinator to join our team in Eagle River!
Over the Top Tents & Events offers a wide range of rental items and custom services to assist with the successful execution of outdoor and indoor events. Clients and events range in size and complexity so creativity, attention to detail, and a general love of helping others are necessities in this position!
The Event Coordinator position is a key role and will be primarily responsible for directly coordinating event rental needs and services with clients throughout Alaska. While experience in an event-related field is preferred, Over the Top Tents is willing to train the right candidate.
This position is a full-time, year-round job in our Eagle River office. Scheduled shifts are 8 hours between office hours, 7:00 am and 6:00 pm, Monday – Friday, with occasional schedule deviations and seasonal adjustments.
Key Responsibilities:
- Serve as the primary point of contact for existing and potential clients. Answer a fluctuating volume of phone calls and emails with occasional in-person inquiries.
- Assist with a variety of rental and event needs. Be knowledgeable in all rental items, their applications, and have a working knowledge of install/strike procedures.
- Work with clients to refine and/or create event details such as rental orders, layouts, floor plans, general event timelines, permits, and more.
- Coordinate rentals and services with external vendors and third parties as needed.
- Maintain accurate and up to date client records. Manage contracts, invoices, work orders, permits, and all other necessary event documents while communicating needs with internal and external personnel to ensure seamless execution.
- Assist other office team members on the Rent A Can side of the company. Understand products and services and how they intertwine with the Over the Top Tents & Events side of the company
- Occasional off-site work such as site visits, client meetings, wedding fairs, and event setup/strike.
