Events and Experience Coordinator

Richland Library is seeking to hire a Full-Time Events & Experience Coordinator at our Main location within the Events and Experience Department.

Sample Duties:

  • Coordinates special projects, meetings, professional conferences and events system-wide to include individual branches
  • Coordinates space use for room reservations, requests, and rentals at Main and collaborates with branch staff to schedule space use throughout the system
  • Provides consultation or recommendations to management regarding space use and matters related to space reservations and rentals
  • Facilitates the contract process related to space rentals and assists with logistics for in-person and virtual events
  • Verifies accuracy of all forms and documents submitted, customer specifications and requirements, and adherence to all guidelines related to external parties and space use
  • Maintains a system-wide notification and tracking system related to all spaces available for public rental
  • Maintain accurate records and documentation for all events, rentals and contracts
  • Submits all requests for audiovisual components, furniture configurations, and other specifications to the appropriate staff per established protocols
  • Assists with problem-solving related to customers and staff and with interpreting and communicating library policies and procedures
  • Develops promotional and information materials related to space rental throughout the system; responds in person, by phone, and in writing to public inquiries regarding space rental and reservations
  • Schedules and conducts library tours as requested
  • Assists in overseeing grants and ensuring compliance
  • Assist with requisitions (MUNIS) and floater schedules when needed
  • Manage and respond to LibAnswers queue
  • Participate in promotional opportunities for Library events which may include television, radio and others interviews.
  • Follows organizational, County, and public health and safety guidelines and protocols and performs job functions in a safe manner and reports all safety hazards per established policies and procedures
  • Attends and participates in staff, and professional group meetings; stays abreast of new trends and best practices
  • Greets, engages, and assists diverse customers of the Library in a welcoming, professional, and respectful manner; successfully ascertains individualized needs and/or requirements for each customer
  • Learns and consistently applies the Richland Library’s Customer Engagement Standards providing outgoing, genuine, and high-quality customer service to all internal and external customers
  • Will be required to work outside of standard business hours, including nights and weekends based on organizational responsibilities and job requirements

Minimum Qualifications:

Bachelor’s degree in business or public administration, event management, or related field; supplemented by at least two (2) years of directly related experience; or an equivalent combination of education, certification, training, and/or experience.

Certifications and Licenses:
  • Must possess and maintain a valid State of South Carolina Driver’s License and the ability to drive a Library owned vehicle per established policies, procedures, and safety guidelines

Regular attendance at work on-site is essential to maintain the necessary teamwork, personal interaction, and supervision that this position requires.

Preferred Qualifications:

The ability to communicate in and understand Spanish, both orally and in writing


Location, Salary & Hours:

Where: Richland Library Main, 1431 Assembly Street, Columbia, SC 29201

Salary: $48,000 - $52,000 plus excellent benefits.

Hours: 37.5 hours per week to include occasional evening and weekend hours: Monday - Friday 9:00 am - 5:30 pm

Job Role & Level: P2; Pay Grade & Salary Band: 6; FLSA Status: Exempt
