Events & Execution Assistant

Job Functions Summary:
EventsExecution Assistant will coordinate and execute all Group Sales and Sponsorship events, ensuring seamless operations
and exceptional client experiences. They will serve as the vital link between clients, sales teams, and park departments, delivering
unforgettable events and supporting sponsorship activations. This position reports to the Area Manager of EventsExecution at
each assigned park.

Responsibilities:

  • Collaborate with the Area Manager of EventsExecution to manage client, sales, and park communications for Group Sales
    events
  • Lead day-of event execution for corporate outings, youth programs, and other group events, managing support teams and
    addressing client needs
  • Ensure accurate event orders, catering arrangements, billing, and data entry in collaboration with sales support staff
  • Support onsite sponsorship activations, ensuring in-park visibility aligns with national and regional agreements, and provide
    event documentation for recaps
  • Serve as the central communication hub between clients, vendors, and internal teams to deliver top-tier experiences.
  • Travel to assist with events at other park locations as needed
  • Develop and maintain strong relationships with clients to understand their needs and preferences.
  • Coordinate with marketing teams to promote events and sponsorships, leveraging social media and other channels.
  • Oversee the setup and teardown of event spaces, ensuring all equipment and materials are in place and functioning
    correctly.
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.
  • Stay updated on industry trends and best practices, incorporating innovative ideas into event planning and execution.
  • Handle unexpected issues or emergencies during events, demonstrating quick thinking and problem-solving skills.
  • Ensure compliance with all safety and regulatory requirements, prioritizing the well-being of guests and staff.
  • Maintain detailed records of all events and communications.
  • Contribute to the overall strategic planning of the events department, helping to set goals and objectives that align with the
    park's mission and vision.
  • Perform other duties as assigned

Qualifications:

  • Minimum age of 16.
  • Proficiency in Microsoft Office Suite and familiarity with Windows.
  • Experience with Salesforce CRM is a plus.
  • Strong time management, problem-solving, and attention to detail.
  • Excellent written and verbal communication skills.
  • Friendly, outgoing personality and customer service experience.
  • Physical Requirements:
  • Ability to lift and carry 50+ pounds.
  • Frequently sitting, standing, bending, and grasping.
  • Typing speed of 40 words per minute with 90% accuracy.
  • Valid driver's license for golf cart operation.
  • Flexibility to work weekends, holidays, and evenings as needed
