Position Overview


The Excursion Operations Coordinator is responsible for planning and executing the logistical components of day tours and multi-day excursions. This includes scheduling guides, purchasing necessary tickets and passes, preparing detailed tour information, and ensuring all operational elements are in place to deliver a smooth and high-quality guest experience.


The role requires excellent attention to detail, proactive communication, and the ability to anticipate and solve problems in real time. Working closely with the operations team, guides, and suppliers, the Excursion Operations Coordinator ensures each tour is executed seamlessly and in line with company standards.


Key Responsibilities


  • Plan and assign tour guides for scheduled excursions based on availability, language skills, and tour requirements.
  • Purchase and manage tickets, seat reservations, mountain passes, and other entry requirements in advance of each tour.
  • Prepare and distribute detailed tour information sheets and internal run-downs for guides and drivers.
  • Maintain communication with guides before and during tours to ensure timing, logistics, and guest needs are aligned.
  • Monitor daily tour operations and assist with real-time problem-solving (e.g., train delays, guest issues, weather impacts).
  • Coordinate with hotels, transport providers, and attractions to confirm bookings and adjust schedules as needed.
  • Ensure that all tour documentation, guest materials, and support tools are up to date and properly filed.
  • Support the operations team with planning and seasonal scheduling of excursions, including new route preparation.
  • Maintain internal records related to tour execution, guide hours, and purchased tickets for accounting and audit purposes.


Qualifications & Skills


  • Experience in tour operations, travel coordination, or event planning preferred.
  • Strong organizational skills and ability to manage multiple tours and logistics simultaneously.
  • Good communication skills (written and verbal); English required
  • Familiarity with ticketing systems, rail platforms, or booking tools is a plus.
  • Calm under pressure and able to adapt to changing circumstances quickly.
  • Comfortable working in a fast-paced, guest-focused environment with tight timelines.
  • High attention to detail and accuracy, especially with time-sensitive bookings and documents.
