We are seeking an experienced and polished Executive Administrative Assistant to provide high-level administrative support to our executive leadership team. Position Summary

The Executive Administrative Assistant supports the General Manager and executive team in the daily operations of the hotel, ensuring efficient communication, coordination, and execution of administrative functions. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, service-driven setting.

Key Responsibilities

  • Provide comprehensive administrative support to the General Manager and executive leadership team.
  • Manage calendars, schedule meetings, prepare agendas, and take minutes with confidentiality and accuracy.
  • Coordinate travel arrangements, accommodations, and itineraries for executives and VIP guests.
  • Draft, proofread, and manage correspondence, presentations, and reports.
  • Liaise with internal departments to ensure timely follow-up on executive directives.
  • Handle confidential information with the utmost discretion and integrity.
  • Assist with event coordination, including leadership meetings, investor visits, and hotel functions.
  • Maintain organized filing systems, both digital and physical, ensuring compliance with recordkeeping policies.
  • Support HR and finance administration as needed (e.g., expense reports, purchase orders).
  • Uphold brand standards and demonstrate professionalism in all interactions with guests and colleagues.
  • Direct Assistance of Executive Committee members with associated departmental tasks
  • Special projects to include communications and roll out of new systems and/or initiatives
  • Other projects as assigned by management

Qualifications

  • Associate or bachelor’s degree preferred (Hospitality Management, Business Administration, or related field).
  • Minimum 3–5 years of administrative or executive assistant experience, preferably in a hospitality or luxury service environment.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Strong organizational, problem-solving, and multitasking skills.
  • Professional demeanor, discretion, and ability to maintain confidentiality.
  • Availability to work flexible hours as needed to support hotel operations.

Work Environment & Physical Requirements

This position operates in a professional office environment within a luxury hotel setting. The role requires regular use of standard office equipment and occasional walking or standing in public areas of the property.
