About the Role:

The Executive Assistant to the Chief Risk & Compliance Officer plays a pivotal role in ensuring the smooth and efficient operation of the Risk and Compliance department. This position is responsible for managing complex calendars, coordinating high-level meetings, and facilitating communication between the Chief Risk & Compliance Officer and internal as well as external stakeholders. The role demands a proactive approach to anticipating the needs of the executive, managing confidential information with discretion, and supporting strategic initiatives that uphold regulatory compliance and risk management standards. By providing comprehensive administrative support, the Executive Assistant enables the Chief Risk & Compliance Officer to focus on critical decision-making and leadership responsibilities. Ultimately, this role contributes significantly to the organization's ability to maintain robust compliance frameworks and mitigate risks effectively.

Minimum Qualifications:

  • Associate's degree or Bachelor’s degree in Business Administration, Finance, Risk Management, or a related field preferred.
  • Minimum of 5 years of experience as an executive assistant, preferably supporting senior leadership in risk, compliance, or financial services.
  • Proven ability to manage complex calendars and coordinate multiple priorities simultaneously.
  • Strong written and verbal communication skills with attention to detail.
  • Demonstrated ability to handle confidential information with integrity and discretion.

Preferred Qualifications:

  • Experience working within a risk management or compliance function in a regulated industry.
  • Familiarity with regulatory frameworks such as SOX, GDPR, or industry-specific compliance standards.
  • Proficiency with Microsoft Office Suite, especially Excel, PowerPoint, and Outlook, and experience with project management tools.
  • Ability to work independently and anticipate the needs of a C-suite executive in a fast-paced environment.

Responsibilities:

  • Manage and maintain the Chief Risk & Compliance Officer’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate all credit union related travel arrangements for employees and Board/Supervisory Committee Members.
  • Prepare, review, and distribute correspondence, reports, and presentations related to risk and compliance activities.
  • Coordinate and support the preparation of materials for executive meetings, board meetings, regulatory submissions.
  • Serve as a liaison between the Chief Risk & Compliance Officer and various departments, external partners, and regulatory bodies.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Manages budgeting and invoices for the Risk & Compliance Department.
  • Reviews legal documents such as POAs, garnishments, Trusts, etc. Manages lawsuits for the credit union and communicates with lawyers as needed.
  • Tracks and manages all member complaints to ensure they are handled appropriately.
  • Assist in tracking compliance deadlines, risk assessments, and follow-up actions to ensure timely completion.
  • Organize and prioritize incoming requests and communications to optimize the executive’s time and focus.
  • Communicate with the Board Members regularly.
  • Support special projects and initiatives as assigned by the Chief Risk & Compliance Officer.

Excellent communication skills are essential for drafting clear, professional correspondence and facilitating seamless interactions across departments and with external stakeholders. Attention to detail ensures accuracy in preparing reports, presentations, and compliance documentation, which supports regulatory adherence and risk mitigation efforts. Discretion and confidentiality are critical when handling sensitive information related to compliance and risk management. Additionally, proficiency with technology and project management tools enables the Executive Assistant to streamline workflows, track deadlines, and support strategic initiatives efficiently.
